Assistant to Director of Project Management

The Department of Planning + Design + Construction is within the Division of Administration and Finance and is looking for a new Assistant . The department has 50 employees and 10 co-op students and student workers. Backgrounds of the group include, architecture, engineering, construction management, graphic design, real estate, space management, landscape architecture and planning. The group is responsible for all the building, landscape design and signage for all of the campuses that make up the University of Cincinnati. In addition to the built environment, all planning studies, signage and real estate transactions run through this office.The work is interesting and the days, energetic and productive.

This Assistant position will serve the Director of Project Management in their work with the project managers and construction management.

Job Tasks and Responsibilities in Planning + Design + Construction
  • Prepare and edit correspondence, communications, presentations and other documents as needed by the Director and/or Sr. Associate VP/University Architect
  • File and retrieve documents and reference materials
  • Assemble and analyze data to assist with preparation of reports and documents
  • Design and maintain databases
  • Manage and maintain schedules, appointments and travel arrangements
  • Arrange and coordinate meetings and events
  • Record, transcribe and distribute minutes of meetings
  • Monitor, respond to and distribute incoming communications as required by Director
  • Receive and interact with incoming visitors
  • Liaise with internal staff at all levels
  • Co-ordinate project-based work
  • Review operating practices and implement improvements where necessary
  • Assist other administrators on the floor when out or when their workload exceeds time available as directed by Supervisor
  • Assist with eBuilder or other project management computer software
  • Establish procedures for record keeping in line with the university rules
  • Implement office policies and procedures
  • Analyze and monitor internal processes
  • Review and approve office supply acquisitions and maintain office supplies through assigned administrator
  • Purchasing card reviews


Minimum Requirements
  • Bachelor's degree and three (3) years' experience; -OR- Associate's degree and five (5) years' experience; -OR- seven (7) years' experience. Degree and experience must be in a related field.
  • Knowledge of standard office administrative practices and procedures
