This Assistant position will serve the Director of Project Management in their work with the project managers and construction management.
Job Tasks and Responsibilities in Planning + Design + Construction
- Prepare and edit correspondence, communications, presentations and other documents as needed by the Director and/or Sr. Associate VP/University Architect
- File and retrieve documents and reference materials
- Assemble and analyze data to assist with preparation of reports and documents
- Design and maintain databases
- Manage and maintain schedules, appointments and travel arrangements
- Arrange and coordinate meetings and events
- Record, transcribe and distribute minutes of meetings
- Monitor, respond to and distribute incoming communications as required by Director
- Receive and interact with incoming visitors
- Liaise with internal staff at all levels
- Co-ordinate project-based work
- Review operating practices and implement improvements where necessary
- Assist other administrators on the floor when out or when their workload exceeds time available as directed by Supervisor
- Assist with eBuilder or other project management computer software
- Establish procedures for record keeping in line with the university rules
- Implement office policies and procedures
- Analyze and monitor internal processes
- Review and approve office supply acquisitions and maintain office supplies through assigned administrator
- Purchasing card reviews
Minimum Requirements
- Bachelor's degree and three (3) years' experience; -OR- Associate's degree and five (5) years' experience; -OR- seven (7) years' experience. Degree and experience must be in a related field.
- Knowledge of standard office administrative practices and procedures
