CONTEXT OF THE JOB:
Under limited supervision, provide high-level administrative support for the financial office of Biological Sciences and support the business administrator. Perform various complex financial and HR duties involving department budgets and payroll processes. Process, identify, and resolve various PeopleSoft web forms. Interact will all levels of Biological Sciences management to verify correct allocation of expenses and adherence to department budgets and University practices. Independent judgment, initiative and problem-solving skills are required. The principal emphasis is on general administration, HR processes, financials, and adherence to UD policies and procedures. This position will require familiarity and experience with University systems such as UDTime and federal regulations such as the Fair Labor Standards Act.
MAJOR RESPONSIBILITIES:
- Serve as liaison for supervisor, faculty and staff regarding proper procedural methods and problem resolution, in particular as the independent reviewer of the Procard program.
- Maintain T&E cards for all Biological Sciences grad students to include expense cards and travel reimbursements.
- Effectively and efficiently manage all funding for Biology Graduate students to include GSCRF, SFAF, JED's, LAM processes and ELI payments. All HR processes are a major part of this position. Includes processing pay for Nemours graduate students then follow thru with financials and billing of the outside agencies funding the graduate students. Coordinate outside billing processes and prepare expense reports which require extreme attention to detail.
- Effort administrator for all Grads, review for accuracy on appropriate research projects in order to certify reports.
- Run Queries, generate reports, maintain and update records of external activity and strategy in Development database.
- Perform routine and non-routine records-processing duties ensuring confidentiality.
- Process various webforms such as Payments to Individuals, Requisitions/Vendor payments, cash transmittals, journal vouchers, additional assignments, S-contracts, etc.
- Process undergrad pay thru UDtime. Perform other related duties as assigned.
- Provide backup support for the department business administrator.
QUALIFICATIONS:
- High school diploma or GED, Associate's degree preferred, and three to five years of experience.
- Proficiency in Microsoft Excel, Microsoft Word.
- Working knowledge of University financial and operating policies and procedures preferred.
- Effective organizational skills.
- Experience setting priorities, producing timely results, and meeting deadlines in a diverse work environment, while maintaining a high level of attention to detail and accuracy.
- Ability to work under limited supervision.
