Executive Staff Assistant (Part-Time), UC Real Estate Center

The UC Real Estate Center has an established national reputation for excellence in its academic programs, research, and professional outreach. This is an exciting opportunity to be part of a dynamic team focused on growing the impact and presence of the Center and academic program on a national stage. The UC Real Estate Center is located within the nationally ranked Lindner College of Business and this position combines extensive liaison with a broad range of constituents from senior industry, university and government officials, to real estate professionals, faculty and students.

Overall Job Objective: Under general supervision from a designated administrator, assist in the planning and coordination of administration and/or operational activities of substantial variety and complexity for the LCB Real Estate Center. This position will report to the Associate Director of Membership of the LCB Real Estate Center.

Complex Assignments include but not limited to : Assist with coordination of events ( i.e. luncheons, seminars, faculty retreats, board meetings ); network and liaison with resources and various departments within COB and throughout University; promote compliance and liaison to ensure compliance with University/COB policies; coordinate and evaluate procedures; conduct research concerning procedures and practices, identify problems and recommend solutions; compile data from sources such as surveys; utilize Microsoft Excel and survey software; coordinate social media communications for the Center; support alumni relations through Facebook and Lined-in as well as other networking tools.

Primary Duties (include but not limited to):
  1. Board of Directors management assistance (BEARE & REEAC)
    • Schedule meetings, lunches
    • Manage meeting logistics (food, agendas)
    • Communicate directly with boards

  2. Monthly event planning
    • Program preparation (arrange speaker travel, gather presentation materials, manage facility logistics, communicate with A/V provider, create and send promotional communications, create nametags, prepare program handouts)
    • Day-of event management (manage attendee arrivals, room set-up, catering, A/V)

  3. Annual Dinner planning and management
    • Manage program registration (dinner sponsors, individual registrations, corporate sponsors, RSVP lists)
    • Print materials (invitations, programs, newspaper ads)
    • Manage program promotion through email and web communications
    • Day-of event management (assist with A/V, attendee management, and formal program)
    • Develop and create various marketing material for the Real Estate Center utilizing Adobe Suite products; prepare and print materials (invitations, programs, newspaper ads) for Center events.

  4. Receive and reconcile expense statements through Concur Travel & Expense Management System and other University systems/processes relating to purchase orders, travel authorizations, contracts, deports, reimbursements; management and processing of receipts and records for Director and Associate Director.

  5. Assist with the maintenance of the website and databases. Ensure website data is up to date; representing's accomplishments, upcoming events, programs etc.

  6. Perform other related duties based on departmental needs.


Minimum Qualifications: Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years experience; -OR- five (5) years experience. Experience must be in high-level administrative support.

  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Must be able to work a flexible schedule including early mornings, nights, and occasional weekends.
  • Must be able to work under pressure and meet all deadlines. Attention to detail is important.
  • Proficient in Word, Excel, Outlook, Illustrator, and InDesign
  • Excellent verbal and written skills


*This is a part-time position at 25% FTE; working 10 hours per week.

This position will be a professional position paid at an hourly rate.
