Minimum Qualifications:

Bachelor's Degree and 3 years' experience in higher education.

Preferred Qualifications:

Experience in Records or Registrar's Office. Experience with completing I-20's for international students and SEVIS.

General Function:

To coordinate, oversee, perform, and report the functions of the Admission and Records Office at Motlow State Community College.

Major Duties and Responsibilities:

(Duties and responsibilities listed are examples of work performed and may be modified as needs of the College may dictate.)

Support the Director of Admissions and Records, Registrar in performing the following:

• Coordinates, oversees, and/or performs all tasks that are necessary to achieve three successful registrations a year at all locations by maintaining validation screens and building beginning of term rules.

• Develop written reports for TBR i.e. fourteenth day, lottery, first time freshmen, academic inventory, end of term LS report

• Coordinates, oversees, and/or performs all tasks that are essential for the annual commencement ceremony;

• Performs all tasks for end-of-term processing, grades rolled to history, repeat processing calculating GPA's and probation and suspension and notify students of status

• Works with IT personnel to develop the enrollment report each semester and the academic inventory report each year to be sent to the Tennessee Board of Regents;

• Oversees the duties of evaluating transcripts, graduation evaluations, data entry, application processing, transcript transmittal, data reporting, enrollment certifications, drop/add processing, withdrawal processing, purchasing of supplies, office budget, grade changes, athletic eligibility and other Admission and Records duties;

• Communicates with faculty and adjunct faculty about grades and assists where needed;

• Process all student appeals, withdrawals, and refunds;

• Provides support and solves problems for Admissions and Records staff;

• Maintains and builds calendars in BANNER;

• Updates the Admissions and Records section of the class schedule and student catalog;

• Monitors the reporting of grades from instructors, grade entry process, and running the processes to push the grades to academic history;

• Determines residency status for out-of-state students; Responds to inquiries from students and prospective students by telephone, e-mail and in person;

• Informs international students about the admission process; complete I-20's for all international students; maintain all records; SEVIS (Student & Exchange Visitor Information System)

• Reports enrollment statistics to MSCC personnel;

• Process all academic fresh start requests

• Develops and redesigns office forms;

• Completes data questionnaires as needed;

• Evaluates personnel under supervision;

• Serves on committees as required

• Provides support and oversees course updates and graduation evaluation update forms;

• Work with IT to develop workflows;

• Oversee Dual Admissions;

• Oversee Reverse Transfer; and

• Performs other duties as assigned by the Director of Admissions and Records, Registrar.
