Part-Time Administrative Assistant for Honors Program

Performs administrative assistant duties for the Honors Program at Elmhurst College.

Salary Grade
Essential Functions
Assist the Honors Program Director and Assistant Director with numerous tasks as needed, including, but not limited to:
• Assist in serving as Honors Program receptionist, at times, and/or guiding student worker(s).
• Process all incoming student applications, involving multiple enrollment and recording steps.
• Maintain large amounts of student records for 350+ Honors Program students on Excel and in One Drive, interfacing with various campus Computer systems, especially Colleague, Slate and Blackboard.
• Determine Honors Program standing through multi-tiered process.
• Maintain four different Blackboard Honors Program sites.
• Coordinate Honors Directed Readings each term (a course involving 15 different faculty and 25 students per term).
• Generate necessary materials for annual Faculty-Merit Scholarship program.
• Process expense invoices and track all Honors Program expenses by separate accounts.
• Process faculty stipends for 495s and HON 350 each term.
• Assist with reporting of graduate information to Records and Registration and Office of Academic Affairs for Honors Convocation and Honors Program Graduates' Dinner.
• Facilitate numerous annual Honors Program events-making reservations, assembling materials, coordinating with central Printing, AV, tracking responses, etc.
• Coordinate arrangements for two major national conferences, including group reservations for flights, hotels, registrations, etc.
• Demonstrate a strong commitment to continuous improvement.
• Support mission, vision and values.

Other Duties and Responsibilities
As assigned.

Minimum Qualifications
. Highly organized.
. Detail-oriented.
. Very proficient with entire MS Office suite, especially Word and Excel.
. Comfortable with learning new campus-specific computer programs.
. Strong written and oral communication skills.
. At least two years of office experience.
. Associate's degree.

Preferred Qualifications
. Bachelor's degree preferred.
. Experience in a higher education environment also preferred.

Working Conditions/Physical Requirements
Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move object.

Work Hours
Approximately 20 hours per week for 46 weeks of the year. Schedule is flexible, to be determined with manager.
