ABOUT AIC

American International College is a private, coeducational institution of higher education located on a 70+ acre campus in Springfield, Massachusetts. The campus has 42 buildings on two sites approximately 1/2 mile apart with a total of approximately 660,000 gross square feet. Included in the inventory of buildings are student residences for a resident population of 900 students. Founded in 1885, the College has 3700 graduate and undergraduate students. AIC offers a variety of undergraduate and graduate programs through the Schools of Business, Arts and Sciences; Health Sciences; and Education. ESSENTIAL FUNCTIONS
  • Manage operation activities and provide leadership and oversight to all aspects of the Registrar Office. Responsible for hiring, training, evaluating, and developing direct report staff. Develop and administer departmental operating budgets.
  • Responsible for maintaining compliances: Family Educational Rights and Privacy Act (FERPA), NCAA regulations, enrollment reporting through the National Student Clearinghouse (NSC),VAOnce, and the College's academic policies. Assist the College's IPEDS administrator in records related activities and other externally imposed state and federal regulations.
  • Develops a strategic vision for the registrar's office, and develops and implements department procedures to facilitate the timely, accurate, efficient, and innovative provision of services to the college community.
  • Manages the transfer of credit acceptance, routing and posting process. Oversees the maintenance of the student records tables in the student information system. Executes the integrity of students records and commencement. Resolve student records and transcript concerns and disputes. Maintenance and integrity of all enrollment, graduation, and permanent academic records of students following professional guidelines and assuring compliance.
  • Maintain effective facilities, equipment, materials and technology to support existing and emerging programs in all areas of oversight. Consult and coordinate with the IT department to define system requirements and needs and to ensure appropriate upgrades and development of technology to support department functions.
  • Supervises the development of fall, intersession, spring and summer schedules by instructional units and coordinates class schedules with room assignments for optimum use of institutional resources
  • Development and implementation of academic calendar, programs and/or policies in collaboration with a variety of campus partners and stakeholders
  • Participate and serve on College committees that support the goals and objectives of the College.
  • Other duties as assigned

QUALIFICATIONS
  • Required Degree(s): Master's degree
  • Required Field of Expertise: Minimum of 3-5 years in a Registrar's office at a higher education institution

Knowledge/Skills/Abilities

  • Proven ability to act decisively and exercise initiative and judgement on a wide range of issues is required along with strong creative problem solving and conflict resolution skills.
  • Demonstrated knowledge of student information systems including development of reports, plans and budgets, and regulations related to student records
  • Excellent leadership, managerial, strategic planning, decision making, presentation and organization skills.
  • Possess strong communication, team work and collaboration skills.
  • Familiarity with modern database structures and software systems associated with the Registrar's office.
  • Exhibit excellent interpersonal and communication skills
  • Knowledge of pertinent federal and state regulations; working knowledge of FERPA

WORK SCHEDULE

This is a full-time, exempt, benefited position. Normal office hours are Monday through Friday, 8:30 am - 4:30 pm, flexible to the needs of the department. Occasional nights and/or weekends required, chiefly around academic events.
