General Function:

This position acts as personal secretary and performs complex administrative clerical functions. Assist the Director in coordinating and managing the administrative office complex at the Center that provides academic services that include but are not limited to admissions, financial aid, student Services, business office, testing, and adjunct/full-time faculty services.

Minimum Qualifications:

High School diploma or equivalent. Three or more year's successful experience in an increasingly responsible secretarial, accounting, or clerical position.

MAJOR DUTIES AND RESPONSIBILITIES:

  • FACILITIES/OFFICE MANAGEMENT : assure that Center facilities are open and operational as appropriate. Oversee maintenance and security of facility in the absence of the Director. Manage administrative office complex. Coordinate and direct work assignments for clerical staff, student workers, and lab assistants. Maintain phone messaging system. Assist the Director in formulating facility schedule.
  • RECORDKEEPING/FISCAL MANAGEMENT : Manage petty cash fund and all daily monetary transactions, including but not limited to registration fees, test fees, library fees, and credit card transactions. Maintains personnel records on adjunct faculty and staff and maintains the office filing system. Maintains records of work attendance and payroll reports for all office staff. Disperses financial aid checks. Maintains travel records for Center staff.
  • STUDENT SERVICES : Provides current and prospective students assistance in person, by phone, and by mail information concerning academic programs, admissions requirements, transfer requests, career planning, and financial aid. Enters student information into Banner, and provides counsel to students in the absence of the Director. Assists Director in coordinating registration activities at the Center. Assists in student orientation programs.
  • FACULTY SUPPORT SERVICES : Produces and copies syllabi, exams, quizzes, handouts. Prepares adjunct faculty contracts. Coordinates equipment needs and keeps faculty informed concerning any changes in facility schedule. Assists with ITV course needs and smart classroom equipment.
  • OTHER SECRETARIAL/ADMINISTRATIVE DUTIES : Routes incoming mail, prepares correspondence, memorandums, administrative reports, requisitions, and minutes of meetings. Prepares reports as required by the Director. Conducts testing to determine placement of students and assists students in application for other needed tests and services.
