General Function:
Performs office administrative duties and general to complex clerical duties. Employee must be able to operate a computer with Microsoft Office Suite and other facilities programs. May oversee the flow, or check work of student workers, temporary employees and/or lower level clerical employees.

Minimum Qualifications:
High school diploma or equivalent. Prefer Associates degree from an accredited college or university. Working knowledge of computer applications including word processing and spreadsheet preparation required. Two (2) years clerical or secretarial experience required.

Major Duties and Responsibilities:

  • Greets visitors, provides proper information or routes visitor to proper office.
  • Answers telephone giving information to callers, takes messages and routes calls to appropriate person/office.
  • Assists faculty, staff and students with facilities requests.
  • Develops and maintains personnel, financial, statistical, environmental safety and other important records.
  • Composes routine and non-routine correspondence independently.
  • Makes arrangements and preparation for travel, conferences, appointments, special events or other business activities.
  • Prepares forms and operational records for budgets, grants, purchases, personnel actions, departmental credit card, etc.
  • Prepares and maintains minutes for department group meetings.
  • Monitors and distributes incoming mail.
  • Analyzes and interprets directives, procedures, guidelines, etc.
  • Maintains office filing system.
  • Responsible for maintaining shipping, receiving and delivery records.
  • Sign for incoming freight and deliveries when required.
  • Processes outgoing shipments (i.e. UPS, Fed Ex)
  • Keeps all facilities supervision informed of significant events.
  • Helps plan, oversee, and/or accomplish special projects as assigned or directed.
  • Assist Director in maintaining and updating all department procedures.
  • Maintain accurate usage record and inventory control of fuel supplies and send monthly report of usage to the Business Office.
  • Maintain department compensatory time records.
  • Assist employees with time and leave reporting.
  • Process department invoices for payment.
  • Procure and maintain adequate quantity of department office supplies.
  • Assist in the maintenance of the campus key control inventory and records as needed and assist faculty and staff with key requests.
  • Responsible for scheduling the use of Motlow open use vehicles.
  • Maintains all fleet vehicle records and coordinates service with maintenance department.
  • Responsible for linen upkeep for campus functions.
    To include cleaning and storage of linen.
  • Actively participate in committees and internal Motlow group activities as needed.
  • Monitor and assist with departmental Institutional Effectiveness Plans.
    Other duties as assigned.
