Responsibilities:

This position reports to the Head of Access Services; the Access Services Manager manages and supervises staff responsible for the core accesses services provided to students, faculty, and staff. The position is critical to providing excellent service and timely access to a wide range of information resources. The Access Services Manager is responsible for directly supervising, training and overseeing the work of all service desk staff and students. They create, coordinate, implement and evaluate service desk and other access services that ensure access to information. The Manager may be called upon to respond to, report and resolve problems within the Library building/facility and is responsible for coordinating the use of Library facilities and the daily operations of the Library's room reservation system D!bs. This position manages the Interlibrary Loan and Document Delivery Services, running the day to day operations and processing ILLIAD borrowing and lending requests. The Access Services Manager also assists with the coordination of the Library's Displays and Exhibits, library-related events, and perform other duties as assigned.

1. Access Services Manager

Responsible for the managing the Library Service Desk, Stack, and Building Maintenance, and ILL/Document Delivery create the first--and, often the last--impressions that students, faculty, staff, and administration have of the Library. Through unit supervisors, ensures that the Library is open and staffed seven days a week, that a complex array of services are both staffed and responsive to user needs, and that all the staff working within Access Services are thoroughly trained in the myriad of technical
systems they use, in Library policies and procedures, and, as appropriate, in campus policies and procedures. Keeps abreast of national developments in the field, ensures SMC Library follows best practices, assesses user needs and service demands and engages in thoughtful, planned change to ensure we continue to be responsive, efficient and service-oriented in meeting the needs of our user communities.

B. Supervision

Directly supervises and manages four full-time, two part-time paraprofessionals, and indirectly supervises more than 15 students (1.0 FTE). Is responsible, either directly or indirectly for hiring, training, supervising, mentoring, and evaluating the Access Services staff. In consultation with the Access Services team ensures that adequate levels of staffing are maintained to provide excellent service all the hours the library is open, including semester breaks and summers. Models and monitors customer service and works to maintain a consistently accurate and high-quality service.

C.Technical and Systems Management

A significant part of the job responsibilities in Access Services is managing a suite of software systems that must integrate with diverse vendors/companies and the campus' administrative systems. Must have or develop a deep knowledge of each of these, their capabilities, processes, and hand-offs to each other. Must be able to work with the Office of the Registrar, Human Resources, AIS and IT staff who maintain student and employee records to ensure timely, accurate and successful data sharing.

D.Access Statistics Management

Collects and analyzes statistics; prepares reports relating to circulation operations.Runs, maintains and prepares progress repmis and submits reports as requested and required. Responds to inquiries from librarians for subject specific usage statistical information. Collaborates with the access service team to compile the access services statistics for annual report.

2. Interlibrary Loan/Document Delivery Manager

A. Interlibrary Lending and Borrowing Services: Verification and processing of all SMCL ILL borrowing requests using online databases including but not limited to: OCLC, Docline, and other catalog and library related databases and union catalogs such as Melvyl and the Library of Congress. Uses OCLC's ILLiad electronic system and NLM's Docline for interlibrary borrowing and lending, and Ariel and Odyssey for electronic delivery.

B. Processes all requests from other libraries and follows-up on their timely completion. Approves invoices for received materials and prepares to bill to SMC clientele when appropriate. Compiles and reports interlibrary loan, document delivery, and document retrieval statistics as required for compliance with the copyright law and as requested by the Head of Access Services.

C. Keeps and reports lending statistics in compliance with the Library Services and Technology Act (LSTA) for ILL reimbursement to public libraries within the State of California.

D. Represents SMC library to libraries nationwide.

E. Document Delivery and Retrieval: Responsible for the provision of Document Delivery services to faculty, Distance Education Hybrid, and other eligible users. Locates and borrows articles not owned by SMCL and selects those libraries that can provide the quickest and most cost-effective delivery, with a goal of 24 - 48 hours turnaround time. Scans and posts electronic articles to user's ILLiad accounts. Maintains accurate and detailed records for the purpose of billing, annual statistics, and to assess the quality and demand for services provided

3. Billing
Co-manage all aspects of library billing. Coordinate and communicate with SMC patrons about all fines, fees, and blocks on their accounts.

4. Display and Exhibit Coordinator
Manage and maintain the libraries display and exhibit spaces. Coordinating with SMC student, staff and faculty on conceptualizing and installing exciting and interactive displays for the Library entrance and second floor.

5. Other Duties as Assigned Other Duties as Assigned. Examples include: Serving as a web publisher using the software Contribute/Drupe!, maintaining the service pages located on the library's website, creating informational flyers through infographic online software and providing patrons with accurate and up-to-date information regarding the services of the Access Services Department. Organize and supervise special student projects involving collection maintenance/inventory, exhibits, informational meetings, and team-building events. Participate in analyzing, planning, and accomplishing the goals of the Access Services Department and participate in Access Services Department team meetings. Participate in continuing educational training opportunities and staff development as appropriate to job responsibilities and to stay current with emerging trends.

Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical) ) Must have extensive knowledge of a variety of electronic databases and systems and their operation, experience with Sierra, Encore andILLIAD preferred. Must be able to perform high-level bibliographic searching. Requires careful attention to detail and the ability to meet deadlines. Must be able to independently prioritize tasks and problem solve to locate materials not readily available. Must be familiar with service policies of other libraries and encourage reciprocal borrowing arrangements whenever possible. Must have excellent communication skills in consulting with patrons about alternate sources and research needs. Ability to work effectively with a diverse student population, with other staff, and as a member of a team. Must have 1-3 years Supervisory experience

Licenses & Certificates (e.g. CPA, RN, etc.): REQUIRED: PREFERRED: 2-year Certificate in a library and information technology (LIT) program.

Other requirements: (e.g. travel, weekend/evening work) Occasional early morning and late evening and hours do change for extended hours for prefinals and finals and intersession.
