Position/Job Summary

Ithaca College is seeking applications for a Technology Renewal and Business and Business Coordinator. This is a great opportunity for a professional to coordinate the College's technology renewal program with various units within Information Technology and the Office of Procurement. The technology renewal program is responsible for coordinating the acquisition and disposition of the 4000+ college owned desktop and laptop computers and other endpoint devices.

The successful candidate will work with departments to plan and fulfill their technology renewal program hardware acquisition needs; carry out business operations within Engagement Client Technologies to include such processes as technology ordering, technology contract review and processing, vendor maintenance and software agreement tracking and renewals; monitor and reconcile operating, capital, and income accounts; and oversee daily transactions, monitor and analyze budgets.

Position/Job Responsibilities

1. Work in collaboration with various units within Information Technology and the Office of Procurement to coordinate the College's technology renewal program. Develop and periodically review technology renewal program policies and business practices. Oversee technology renewal database and accuracy of data for 5,000+ technology assets. Develop and coordinate hardware replacement schedules with the Endpoint Systems team and College community. Communicate technology renewal program information to the College community.

2. Coordinate the financial impact of technology renewal program. Forecast, plan and execute technology renewal purchases. Track purchases, expenditures and inventory; prepare and maintain purchase history reports for budget and other offices. Prepare and maintain inventory lists. Work with vendors to ensure timely delivery of program purchases.

3. Manage, plan and analyze over $8 million in Technology Renewal Program budgets. Monitor and reconcile operating, capital, and income accounts. Research, track, and compile figures for spreadsheets and reports for standard and special project accounts.

4. Approve and process Engagement and Client Technology operational and capital purchases. Administer and approve procurement card purchases. Serve as the central resource to provide day-to-day financial information concerning operational, capital, and income budgets to the IT staff. Review, track and process financial transaction associated with the fixIT Shop retail operations.

5. Serve as liaison to various campus offices including Financial Services, Procurement, Warehouse, and Risk Management regarding technology procurement, leasing and licensing issues, hardware and software asset management, and receiving.
6. Participate in the preparation and maintenance of confidential College procedural and operational records, financial records, contracts, proposals and other significant documents.

7. Recommend methods for improving financial processes, procedures and/or workflow; and initiate changes as approved. Maintain up-to-date manuals, directives, budget records, form documents, and related materials.

8. Develop working relationships with key vendors to ensure smooth operational interactions and workflow. Work with the Procurement Department and vendors to ensure timely delivery of program purchases and to resolve order or other related process problems as they arise.

9. Coordinate enterprise desktop software licenses. Track licenses and renewals; identify opportunities for consolidation of licenses. Negotiate favorable prices and terms with vendors. Regularly review licensing to ensure compliance.

10. Continually keep abreast of the latest developments in desktop computer hardware and software, industry trends and their potential application and impact to the Technology Renewal Program and to our user community.

11. Participate in and lead related projects as assigned. Coordinate planning, research and implementation efforts with IT staff and the user community. Use established IT project management protocols. Develop project plans and document.

12. Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Position/Job Qualifications

Bachelor's degree and a minimum of 2 years' of experience in a computer/user support environment or the equivalent combination of education and experience. Excellent organizational, verbal and written communication, time management, customer service skills, and the ability to effectively work and interact respectfully within a diverse and inclusive environment; knowledge of various computer hardware devices and software programs and the ways in which they are used in a college environment. Demonstrated flexibility and professionalism in dealing with suppliers and internal/external customers; ability to handle multiple priorities and deadlines in a very fast-paced environment are required. Experience working in a college or university setting and experience with software licensing and contracts preferred.
