Job Summary:

The Director of Admissions and Enrollment Operations is responsible for supporting the Associate Dean of Admissions and Student Diversity in implementing the mission of the School of Medicine. This position is primarily responsible for the operational management of the Admissions/Outreach and Enrollment Services offices in the School of Medicine. This position requires the administrative oversight of systems and programs that support the seamless transfer of students from recruitment, selection, matriculation into medical school, as well as their continued experience through graduation. Additional responsibilities include software and systems integration, special event and program design and implementation, including pre-matriculation on-boarding and new student orientation. Works closely with the Associate Dean to recruit, hire and train unit personnel. Additionally, the incumbent oversees the fiscal and personnel management of the units and helps the Associate Dean implement policies and procedures necessary for optimal performance for the entire enrollment management team unit, including student records, credentialing and financial aid. Serves as a funcational lead point of contact between SOM and university colleagues in various enrollment management units.

Duties and Essential Job Functions:

Assists the Associate Dean of Admissions and Student Diversity in the daily operational activities of the admissions, outreach and enrollment services offices.

Oversees the planning and direction of staff engaged in the technical components and maintenance of admission selection operations, including responsibility of implementation and ongoing maintenance of the Medical School Application Management System. Ensures data transfer into TCU student information system (PeopleSoft).

Assists the creation and monitors workflow procedures; orients and conducts training of new staff; resolve issues relating to staff escalations; work with staff to maintain and meet deadlines; maintains work schedules of team; communicates discrepancies and issues with senior management.

Collates and submits required medical school admission and other reports to various stakeholders (AAMC, university).

Manages a wide range of admissions, outreach and enrollment services including but not limited to pipeline programs, student selection, pre-matriculation onboarding, and new student orientation.

Oversees the planning and direction of staff engaged in pipeline programs, student recruitment events, and medical school interviews.

Supports the Associate Dean in the formulation and monitoring of the unit budget, and monitors daily line item budget and reconciliation process.

Maintains pertinent student recruitment and current student sections of the Medical School website (in consultation with Web and Marketing Team).

Provides support to Medical School admission committee.

Represents medical school admissions at the TCU functional unit lead committee.

Prepares correspondence as appropriate.

Performs other related duties as assigned.

Job Requirements:
Required Education and Experience:
  • Bachelor's Degree
  • 7-10 plus years of higher education enrollment management experience, including 3-5 years in medical school admissions/student affairs, or equivalent of education and experience;
  • Knowledge of medical school application management system (AMP) and AAMC-led systems (AMCAS, VSAS, SRS).

Preferred Education and Experience:
  • Master's Degree in Higher Education, Human Resources, Public Relations/Marketing.;
  • Knowledge of university student information systems (People Soft);
  • Supervisory experience with student workers, staff.


Knowledge, Skills & Abilities:
  • Knowledge of higher education enrollment management services;
  • Knowledge of multiple computer systems including Microsoft Office Excel, Word, PowerPoint and Outlook.
  • Knowledge and ability to automate and streamline processes.
  • Ability to develop and teach training, seminars and workshops.
  • Ability to supervise and manage staff.
  • Skill in both written and verbal communication.
  • Ability to work collaboratively with faculty and senior academic administrators.
  • Ability to work with all types of people, to assume facilitator and problem solver role.
  • Ability to multi-task and change project priorities.
  • Ability and flexibility to manage multiple projects.
  • Ability to work independently, self-start and self-monitor work projects.
