Position Description:

The President is the Chief Executive Officer of the university and is responsible for the entire university and its effective functioning. The Office of the President is committed to the pursuit of academic excellence, student success, service, and community partnership through innovative leadership and collaboration. As stewards of Cal Poly, and in alliance with campus constituents, the presidential staff supports the vision of the university president and the 'Learn by Doing' educational experience.

The President's immediate office staff include: Associate Vice President & Chief of Staff, Executive Director of Administrative Operations, Executive Assistant to the President, Executive Assistant to the Chief of Staff, Assistant for Presidential Events and Programs and Administrative Assistant for Communications & Records.

Reporting directly to the Associate Vice President & Chief of Staff, the purpose of this position is to act independently as assistant to the president on the president's professional calendar, time management, travel and schedule, president's projects, represent the president in the planning of selected events, including coordination of special events, and facilitate presidential initiatives and programs. The Executive Assistant to the President supports the administrative duties of the Office of the President and is the primary liaison for the President's spouse for the coordination of calendar and interactions on behalf of the university. This position will have access to a variety of resources to perform duties that normally require access to confidential information including that which directly relates to official collective bargaining negotiations or strategy and executive personnel matters.

  • Minimum Qualifications (Staff Only):
    Equivalent to graduation from a four-year college or university. Five years of progressively responsible administrative experience as secretary, executive secretary or senior level staff assistant. A graduate degree may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.


    Required Qualifications:
  • Demonstrate customer service experience requiring a very high level of diplomacy and professionalism.
  • Highly developed ability to demonstrate sound judgment, creditability, maturity, and integrity. Ability to act in a highly discreet manner in the conduct of his/her responsibilities.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Demonstrate ability to maintain a high degree of confidentiality in the performance of duties. Administrators, faculty, and staff throughout the university must rely upon, and have confidence in, the ability of the incumbent to maintain a high degree of confidentiality, exercise discretion and be able to effectively and faithfully represent the President.
  • Strong knowledge of organizational and management structures.
  • Thorough knowledge of presidential duties and priorities and knowledge of the functions of the President's Office.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University by providing a high degree of professionalism, diplomacy and discretion in dealing with people occupying diverse positions and from diverse population and with those from various cultural background.
  • Advanced ability to interpret, communicate and apply policies and procedures.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Superior ability to independently develop and implement research assignments, including collection, analysis and reporting of data. Very strong office management and clerical skills.
  • Demonstrate ability to communicate and interact discreetly and effectively with faculty members, student staff members, alumni and members of the general public with regard to a wide variety of subjects and matters.
  • Demonstrate the ability to communicate and interact discreetly and effectively with senior university officials and persons in senior positions outside the university. Ability to instill confidence in administrators; faculty and staff throughout the university that important issues will be relayed to the President and that timely and appropriate follow up will occur on a wide range of issues and matters.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
  • Ability to develop event programs based on knowledge of university protocol and donor relations.
  • Ability to plan multiple levels of events and assemble cross functional teams to coordinate a variety of special events ranging from small, single events to large multi-event gatherings.
  • Must be able to work effectively with the President, the President's spouse, University staff, Corporation staff and Foundation staff along with off-campus source providers.
  • Knowledge of communication strategies and ability to manage production of communications materials. Must be able to work effectively with professionals in communications, graphics and production.
  • Ability to work effectively and organize, plan and supervise an office team in a high-level, high-profile, and fast-paced environment, with frequent interruptions and multiple levels of activity and priorities, while maintaining professional composure.

  • Preferred Qualifications:
  • Proficiency in both Microsoft and Apple Operating Systems.
  • Proficiency in Microsoft Office Suite.
  • Graduate degree.
  • Extensive work experience involving staff support and interaction with senior academic and/or corporate officers.
  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work additional hours, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

  • This position classification has been defined as "Exempt" and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA).

    The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

    Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
