Assistant to the Dean/Director Degree Certification

Job Title: Assistant to the Dean/Director Degree Certification Job Number: 2017-088 Department: College of Fine Arts - 70001 Job Description:
FLSA Status: Exempt

Salary: Commensurate with experience and education

Job Summary: The Assistant to the Dean/Director Degree Certification is responsible for managing the undergraduate degree plan and certification process for the College of Fine Arts, and also supports other projects as assigned by the Dean with a focus on programmatic assessment for the College of Fine Arts.

Duties and Essential Job Functions:

Advises students on degree programs and university resources by preparing and monitoring degree plans for students with a minimum of 60 hours or more; coordinates advising reports with the registrar's office,; serves as a liaison between the Dean's office (including the Associate Dean for Undergraduate Studies) and Schools/Departments as well as individual faculty; refers student to the Associate Dean for Undergraduate Studies and other support services as needed.

Supports student degree plan needs, in consultation with the Associate Dean for Undergraduate Studies, including Change of Major forms, approving study abroad forms, authorizing students for more than 18 hours in a semester, authorizing students for late additions of a course or to drop a course after they have been approved for graduation; reviews all requests for exceptions to degree plans and refers such requests to the appropriate resources for approval; certifies progress for student athletes for NCAA compliance.

Provides degree certification of seniors by reviewing all undergraduate senior degree plans ensuring that graduation requirements have been met; approving students for graduation; notifying students informing them they have been approved for graduation or that they do not meet graduation requirements.

Receives, processes, and maintains documents and databases; troubleshoots potential problems and makes appropriate referrals; meets with faculty as necessary. Reviews current processes and consults with the Registrar's office, Dean and Associate Dean; makes recommendations for improvement and oversees the implementation of approved changes.

Supports the implementation of the College of Fine Arts strategic plan (2017) with a focus on programmatic assessment as defined by the strategies outlined in the strategic plan, including peer analysis and identification of best practices in the fields that we serve; also supports programmatic assessment for the purposes of evaluation by external professionals/professional bodies.

Performs other related duties as assigned.
Job Requirements:
Required Education and Experience:
  • Bachelor's Degree
  • 3 years' experience in arts administration or higher education administration.


Required Licensure/Certification/Specialized Training:
  • Valid Texas Driver's License.


Preferred Licensure/Certification/Specialized Training:
  • 3 years' experience using higher education software.


Knowledge, Skills & Abilities:
  • Knowledge of curriculum and degree requirements.
  • Knowledge of university programs; knowledge of program planning.
  • Knowledge to establish and maintain databases.
  • Knowledge of research techniques.
  • Knowledge of NCAA student athlete compliance requirements.
  • Skill in components of Microsoft Office Suite
  • Skill in the navigation of Microsoft Windows.
  • Skill in communications and interpersonal techniques.
  • Ability to clearly communicate information orally and in writing.
  • Ability to manage multiple projects and meet deadlines.
  • Ability to review and make recommendations to improve and streamline processes.
  • Ability to interact with constituencies and peers.
  • Ability to develop problem statement and research methodologies.
  • Ability to use research conclusions and collegial input to develop strategic alternatives.


Physical Requirements (With or Without Accommodations):
  • Visual acuity to read information from computer screens, forms and other printed materials and information.
  • Able to speak (enunciate) clearly in conversation and general communication.
  • Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
  • Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
  • Lifting and moving objects and equipment up to 10 lbs.


Work Environment:
