Position Overview
The Business Manager oversees information and communication systems for programs housed in the Office of First-Year Experience. This position will administer student information systems and program technology to support the delivery of orientation, Hawk Week, and other first-year programs. Responsibilities include management of the orientation registration system (VZO), coordination of dissemination of student information to enhance the orientation and advising experience, administration of KU s pre-orientation course in Blackboard, coordination of online communication systems including Hobson s, and website development to enhance program information delivery. This position requires strong communication skills, customer service experience, and an understanding of how technology systems can be leveraged to enhance the student experience, as well as knowledge of university programs, policies, and procedures.
The Office of First-Year Experience is a division within Undergraduate Studies. This position reports to the Associate Director for Orientation Programs.
Job Description
60% Oversee student information and communication systems that support the delivery of First-Year Experience programs. Manage Connect CRM communication system, Visual Zen orientation registration system, Discover KU Blackboard course, pre-advising questionnaire, and StrengthsFinder platform. Coordinate First-Year Experience e-mail communications through Connect CRM. Develop standard content and specialty modules for Discover KU pre-orientation course. Facilitate information sharing from various orientation systems with university partners. Coordinate post-orientation communication to students. Provide website support to ensure that content is current and responsive to program needs.
20% Participate in customer service outreach. Work with program leadership team to build clear pathways to information and develop systems and processes responsive to the needs of students and families. Coordinate program notifications, facilitate program check-in procedures, and answer questions from students, parents, guests, faculty and staff. Provide customer service training for student staff.
10% Provide assessment support. Manage First-Year Experience evaluation projects through Campus Labs, Tableau, and other data analysis platforms. Use quantitative and qualitative data to support orientation and other First-Year Experience program development.
10% Manage external space reservations and similar program logistics for Hawk Week and other First-Year Experience programs.
