Job Description: The candidate will provide first-level management and administrative support to all Graduate Studies programs, including but not limited to the LL.M. in Bankruptcy , American Law: Discourse and Analysis Program, the LL.M. in Transnational Legal Practice and the LL.M.in U.S. Legal Studies for Foreign Lawyers. He/she will also support the creation of new graduate programs. This half-time position also supervises student employees and coordinates front desk operations. As the first point of contact for students and prospective students entering the graduate studies space, this position has significant responsibility for creating and fostering a welcoming, and student-centered environment.

Primary Responsibilities:
  • Serve as first point of contact for the office, directs all inquiries to the appropriate graduate studies or law school employee who should assist with a given issue
  • Foster a welcoming and student-centered environment for all current and prospective students and other visitors to the office
  • Assist director of admissions and prospective students with immigration, housing, and financial requirements for foreign students studying at the Law School
  • Assist director of academic advising with changes to student registration and reporting on student compliance with degree requirements
  • Assist with the dissemination of departmental correspondence , including the production of letters and memos, mail merges, mailings, and email list serves
  • Prepare travel and expense vouchers
  • Assist Graduate Studies personnel with travel arrangements and expense reimbursements as time permits
    Arrange for transportation for visiting faculty and other guests
  • Coordinate the logistics for meetings and departmental events, including reserving space, and ordering catering services
  • Oversee departmental files in both paper and electronic formats
  • Support the Director of Graduate Admissions with the compilation, dissemination and record keeping for all admission files
  • Assist with preparation for the arrival of incoming LL.M. including assistance with housing, visa formalities, and university in-processing activities
  • Assist the Director of Graduate Admissions with the logistics and coordination of new student orientation
  • In collaboration with the Director of Graduate Studies, hire and manage student employees
  • Other projects as assigned


Qualifications:
  • Bachelors degree required
  • One to three years experience working in a professional environment, preferably in a legal, legal support or administrative capacity
  • Excellent technology skills; superb listening, communication and organizational skills
  • Strong professional communication skills in English are essential
  • Strong interpersonal, organizational & planning skills
  • Self-motivated and self-directed - a self-starter who can identify and solve problems on their own
  • Strong attention to detail required
  • Demonstrated ability to work across cultures and with non-native English speakers in an academic and/or legal professional environment.
