About the Position

The Counseling and Psychological Services (CAPS) center provides psychological, educational counseling, and crisis intervention for the university. CAPS advances personal development, enhances student learning, and addresses life crises by providing culturally inclusive mental health services and educational counseling.

Reporting to the Director of Counseling and Psychological Services, the Receptionist performs a full range of moderately complex to complex office and administrative support functions for the office of Counseling and Psychological Services (CAPS). The position performs the duties of receptionist and maintainer of records for the Counseling & Psychological Services department under limited supervision. Working independently, under general supervision, the receptionist is primarily responsible for coordinating a variety of interrelated workflow processes to ensure the administrative, clerical, and customer services functions of the CAPS Center are met. This position has responsibility for administrative and clerical tasks and processes, calendar management and operational unit activities including events. Working under general supervision, this position provides calendar scheduling for the office of Counseling and Psychological Services (CAPS). The position is responsible for supporting a fast paced and highly confidential customer service oriented center.

Responsibilities include but are not limited to the following:
- Answers phones, welcomes and greets visitors for appointments, consultations, groups and/or meetings
- Schedules educational, psychological, and case management appointments.
- Informs and directs presenting issues from student, staff, and general public to appropriate CAPS' resources.
- Maintains all daily client attendance on Titanium on a daily basis for CAPS.
- Assists with calling, cancelling and rescheduling of client appointments when counselors are late, or sick.
- Provides assistance to clients by answering questions, coordinating registration for services, reviewing electronic and other records for referrals and any missing documents.
- Enters demographic data, checks eligibility, activates inactive returning clients, indicates counselor assignments, and reconciles paperwork discrepancies, duplication or errors in client names and identification.
- Responds to non-urgent questions or communications from prospective and current students regarding CAPS and other general SJSU services via the department email account in a timely manner.
- Assists in training new administrative staff and work study students regarding reception responsibilities.
