Assistant Director of Operations and Event Support Services

Position Description:

Under the direction of the Associate Director of Operations and Event Support Services, s/he will be responsible for the daily operations of the D 'Angelo Center. This Assistant Director will also plan and evaluate the department activities which include overseeing the logistics of events in collaboration with the hosting departments or student organization, Facilities, and Public Safety. This position will also serve as the payroll manager and serve as the liaison to Human Resources to ensure accuracy and adherence to procedures. The Assistant Director will assist with the supervision, management, training and development of approximately 150 student employees and graduate assistants. This position requires non-traditional hours as well as some evening and weekends.

Specific Responsibilities:

Support the day-to-day operations of the D 'Angelo Center
  • Maintains quality service by enforcing high standards; evaluate, analyze and resolve quality and service problems; recommend system improvements in the D'Angelo Center.
  • Identifying and implementing trends through maintaining professional and technical knowledge and benchmarking state-of-the-art practices.
  • Collaborate with other Student Affairs professionals to accurately convey and enforces updated policies/procedures pertaining to the use of the D 'Angelo Center

Oversee the Payroll Budget for Student Employees
  • Accomplish financial objectives by forecasting requirements, developing an annual budget of $350,000, scheduling expenditures, managing work-study students and funds, and initiating corrective actions.
  • Strategically create a work schedules for 150 student employees; assign and monitor payroll and staffing of approximately 70 shifts/week with up to 9 students assigned to each shift.
  • Responsible for biweekly payroll reports and chargeback's from student organizations events.
  • Serve as a liaison to Human Resources to clarify and convey updated payroll guidelines and procedures to respective supervisors of approximately 150 student employees (i.e. recording accurate working hours, hiring protocol, termination procedures).

Responsible for on boarding and supervision of the Operations Student Team
  • Oversee the selection process for the Operations Student Team Select; recruit, orient, train, manage, supervise, and evaluate student employees.
  • Develop, implement and evaluate year-round training sessions for Operations which focuses on customer service, professionalism, and clarification of job responsibilities/expectations.
  • Assess the quality of the services provided by the Student Center Staff and Operations in order to continuously make recommendations for improvement and ensure that the staff is adhering to the mission and behaviors of Operations.

Responsible for event logistics of all student organizations
  • Oversee events (setup, breakdown, attendance tracking, monitoring of room capacities, accounting of money collection, patron safety, and policies) within the D 'Angelo Center for student organizations to ensure customer satisfaction.
  • Ensure staffing as necessary for on-site event management of major events, with special focus on high quality service standards and customer satisfaction.
  • Advise student organizations on the elements of successful event planning.

Supervise Operations Graduate Assistants
  • Accomplish staff results by communicating job expectations; plan, monitor, and appraise job results; coach, counsel, and set standards; develop, coordinate, and enforce systems, policies, procedures, and productivity standards.
  • Support professional growth and development through weekly supervision meetings leadership training opportunities.
  • Evaluate through verbal and written feedback, on-going training and evaluation, and ensure that all objectives are progressing.

Support with the oversight of the Student Affairs Room Reservation Process
  • Manage, update, coordinate, and evaluate the Room Reservation System, processes, and policies with departments.
  • Enforce and communicate general reservation/event policies and procedures to student organizations.
  • Select, train, supervise and evaluate the student assistant, which assist with the operations of the Room Reservation System.

Other responsibilities.
Contributes to team effort by accomplishing related results as needed.

Qualifications:
  • Bachelor's degree required; Master's degree preferred.
  • Minimum three years experience in Student Affairs administration, particularly related to operations, student center facilities and/or event management and student staffing; effective leadership and oral communication skills;
  • Ability to develop and maintain professional relationships, experience supervising students in a college setting;
  • Experience training and developing students;
  • Experience delivering and training on customer service;
  • Working knowledge of audio/video equipment coordination and the use of various computer applications (i.e. word processing, database, spreadsheets, email and internet);
  • Understanding of and appreciation for working with diverse populations.
