EXECUTIVE ASSISTANT - JOURNEY

Job Description: The Division of Health Sciences is the largest and most complex division within the University, employing more than 700 EPA employees and 1,700 SPA employees. The Division is composed of numerous Centers, Institutes, and agencies such as East Carolina Heart Institute and Eastern Area Health Education Center, the Colleges of Allied Health Sciences, Nursing, the Brody School of Medicine, the School of Dental Medicine, and the Laupus Health Science Library. In addition to the Academic and Administrative responsibilities of the division, the four professional schools provide clinical services throughout eastern North Carolina in a variety of settings and venues.

The School of Dental Medicine is composed of nine administrative offices and four academic departments. The Administrative units include the Offices of the Dean, Vice Dean, Associate Dean for Student Affairs, Associate Dean for Research, Innovation and Discovery, Associate Dean for Clinical Affairs, Assistant Dean for Extramural Clinical Practices, Assistant Dean for Dental Education and Informatics, Assistant Dean for Educational Support and Faculty Development and the Executive Director for Business and Financial Affairs. The four academic departments are Surgical Sciences, Pediatric Dentistry and Orthodontics, General Dentistry and Foundational Sciences and Research.

Included in the mission of the School of Dental Medicine is to educate dental care providers (both dental students and dental residents) and to address the oral health care needs of the underserved population of North Carolina. The School of Dental Medicine meets these missions by operating dental clinics that provide both educational experiences for the dental students and residents and provides dental care to the residents of North Carolina. These clinics occur in both Ross Hall in Greenville, North Carolina, as well as Community Service Learning Centers located throughout North Carolina. In order to operate these clinics, appropriate dental auxiliaries and clinical staff are needed.

The candidate possesses a thorough understanding of the strategic vision and mission of the SoDM and the operational details and policies and procedures for all areas within the SoDM. The incumbent participates in all phases of planning, coordinating, and carrying out the administrative functions required by the Office of the Vice Dean and represents the Vice Dean in external, as well as internal, relationships.

The candidate problem-solves and establishes priorities in response to requests from key administrators as well as coordinates and tracks projects to ensure that projects are completed satisfactorily and in a timely manner. The incumbent manages the schedule for the Vice Dean, balancing the many demands that are placed upon the Vice Dean's time with the requirement for adequate time for the Vice Dean to prepare for meetings, complete essential administrative tasks, and respond to phone calls and emails. The individual in this position maintains flexibility and realigns priorities on short notice to accommodate scheduling requests from the Dean, and other key administrators, both internal and external to the University. The incumbent identifies topics and prepares agendas for various meetings, and monitors, attends, and prepares minutes for these meetings. In order to accomplish the above tasks in an effective and efficient manner, the individual in this position must organize and prioritize the various projects and responsibilities that are within the purview of the School of Dental Medicine.


Minimum Qualifications: High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.


Special Instructions to Applicants: This position is subject to the Career Banding Salary Administration Plan. If candidates are not identified at the Journey level, management may consider candidates at a lower competency level. Pay will be commensurate with applicant's competencies as well as budget, equity, and market considerations.

Salary Grade Equivalent: 64 (for reduction-in-force priority purposes only)
