Job Summary:

Work is performed under the supervision of the Director and Manager of the Disease Prevention Division (DPD) supervision in the Wisconsin State Laboratory of Hygiene (WSLH); this position provides complex administrative support to the DPD administration, the Cytology Department, and the School of Cytotechnology.

The Medical Program Assistant Senior/Assoc. will independently coordinate and perform a wide range of duties to provide medical administrative and clinical support to the DPD Director, manager, and to the Cytology department and School of Cytotechnology. This position is the administrative core responsible for facilitating communications and serving as the liaison between faculty, staff and others that may come in contact with this unit. As a front line direct administrative contact for incoming calls and other communications exercising the highest level of discretion in the handling of questions and the dissemination of highly confidential information, uses a thorough knowledge of the organization and independent judgment to direct calls and to answer inquiries. Knowledge and experience with medical terminology and medical office procedures is highly desired.

This position researches issues, compiles and summarizes information as requested by the DPD Director and/or Manager for making decisions and effectively communicating with persons external to the University. This position manages the complex appointment schedules for the DPD Director/WSLH Medical Director using independent judgment in scheduling and making recommendations with regard to the relevant policies and procedures of the division.

This position requires the ability to use considerable independence in planning all travel arrangements, implementation involving DPD Director, DPD manager, and staff in the Cytology department and Cytotechnology School. This position requires the ability to support the Director's participation in various state and national committees and conferences. The position must also have the ability to work confidentially and deal with the diverse elements of academic, clinical laboratory environments and the willingness to manage competing priorities.

This position will have the responsibility for the office management/administrative activities to support the management and technical staff of the DPD administration, Cytology department, and Cytotechnology School. This position works directly with potential job candidates and applicants for the Cytotechnology program assuring all required materials are submitted and all university rules are followed.

Other duties include the use of word processing and other computer skills to prepare correspondence and other materials; management of all the daily routine office duties and serves as logistic coordinator for education courses taught by the DPD Director and other leadership staff. This position also provides administrative support to the Cytology supervisor and Program director of the School of Cytotechnology as well as managing their appointment schedule/calendar, fiscal, purchasing, clinical research and grant management.
