JOB SUMMARY:

Provide general office support to the reception area of Human Resources as well as the HR Service Center. Responsible for answering incoming calls, answering and referring inquiries regarding Human Resources policies and procedures, process employment verifications, new hire paperwork completion, and inputting new Adjunct faculty into personnel system.

REPORTS TO: Manager HRIS and HR Service Center

RESPONSIBILITIES & DUTIES:

  1. Answer incoming phones, greet and assist walk-ins.
  2. Respond to HR Voicemail and email inquiries.
  3. Coordinate completion of new hire paperwork and refer completed paperwork to appropriate HR employees.
  4. Answer or refer inquiries re: HR policies and procedures.
  5. Handle & review international employee paperwork.
  6. Coordinate the opening of mail, and coordinate document receipts to mass mailings when necessary (i.e. Conflict of Interest).
  7. Provide general assistance to the Manager HRIS and HR Service Center.
  8. Send out reminders each semester for Local 153 hours of work, Tuition Remission, and Conflict of Interest and maintain tracking of completed forms.
  9. Process employment verifications.
  10. Process address/name changes.
  11. Input new Adjunct faculty hires into SAAS.
  12. Perform other job-related duties as assigned.
  13. Will be assigned further payroll duties once training period is over.
  14. Enter new hire adjunct faculty

REQUIREMENTS:

  1. Strong customer service skills
  2. Ability to be organized and pay attention to detail.
  3. Ability to work cooperatively with others.
  4. Ability to prioritize workload according to volume, urgency, etc.
  5. Knowledge of organization policies and procedures.
  6. Ability to be discrete and maintain high confidentiality on a wide range of issues.
  7. Strong interpersonal skills.
  8. Strong computer skills for using Microsoft Word, Excel and Gmail.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:

  1. Bachelor's degree preferred plus 2-3 years job-related experience.
