Assistant Director Financial Aid Compliance

FLSA Status: Exempt

Job Summary:
The Assistant Director for Financial Aid Compliance is responsible for designing, implementing, monitoring and updating comprehensive policies and procedures to ensure the institution's compliance with regulatory requirements pertaining to the Federal Higher Education Act, the National Collegiate Athletic Association, the Texas Higher Education Coordinating Board, institutional policies and procedures, and other entities related to the proper allocation and distribution of aid programs at TCU.
Duties and Essential Job Functions:
Ensures fiduciary and regulatory compliance in the administration of over $270 million in annual financial aid disbursements.
Coordinates activities with auditors performing the A-133 audit, TEG Audit, and other internal and/or external audits and program reviews.
Monitors the awarding of athletic scholarships and other NCAA processes to ensure compliance with Division I regulations.
Works collaboratively with the athletics compliance office to ensure accuracy of squad lists, certifications of countable aid, and calculations of team and individual aid limits.
Provides responsibility for monthly fiscal reconciliation of all federal and state funds.
Performs periodic internal audits of key processes such as verification, satisfactory academic progress, Title IV refunds and NCAA equivalency limits.
Provides responsibility for reconciling disbursements and allocation drawdowns between financial aid, student accounts, the finance office and various external funding sources.
Maintains policy and procedural documentation for internal training in federally accepted formats for auditing purposes.
Acts as liaison between the Office of Financial Aid and other campus representatives who are responsible for compliance but do not directly report to the Office of Financial Aid.
Monitors and keeps the Director informed of potential changes to rules and regulations.
Attends regular training in student financial aid and NCAA administration to stay abreast of compliance regulations as they pertain to federal, state, and institutional aid.
Maintains master calendar of all federal, state, and agency reporting dates and deadlines.
Assists the Director with special projects, reporting, and internal controls as requested.
Performs other related duties as assigned.

Position Requirements:
Required Education and Experience:
  • Bachelor's degree or equivalent.
  • 5 years of progressive Financial Aid experience.
Preferred Licensure/Certification/Specialized Training:
  • NASFAA Financial Aid credentials in applicable areas and may be considered to supplement education/experience requirements.
Knowledge, Skills & Abilities :
  • Knowledge of higher education federal and state financial aid programs, policy and procedures and processes.
  • Skill in interpersonal and communication, both verbal and written.
  • Ability to work both independently and collaboratively in a demanding environment.
  • Ability to manage multiple complex assignments with sensitivity to deadlines, priorities, and changing circumstances.
  • Ability to solve complex problems and troubleshoot for potential solutions.
  • Ability to demonstrate professional work ethic and positive, problem-solving attitude and troubleshooting skills.
Physical Requirements (With or Without Accommodations):
  • Visual acuity to read information from computer screens, forms and other printed materials and information.
  • Able to speak (enunciate) clearly in conversation and general communication.
  • Hearing ability for verbal communication/conversation/responses via telephone, telephone systems, and face-to-face interactions.
  • Manual dexterity for typing, writing, standing and reaching, flexibility, body movement for bending, crouching, walking, kneeling and prolonged sitting.
  • Lifting and moving objects and equipment up to 35 lbs.
Work Environment:
  • Work is indoors and sedentary and is subject to schedule changes and/or variable work hours.
