Minimum Qualifications :

• Bachelor's degree from an accredited college or university is required.

• Working knowledge of computer applications including word processing and spreadsheet preparation required.

• Excellent attention to detail required.

• Minimum of two years of paid work experience in accounting or bookkeeping required and one year of payroll preparation required.

Preferred Qualifications:

• Bachelor's degree in Accounting from an accredited college or university is preferred.

• Experience working with Banner by Ellucian preferred.

General Function:

The primary duty is coordinating and processing payroll for the College utilizing a computer based system (Banner), including all related accounting, reporting and disbursements. This position also performs a variety of accounting duties.

Major Duties and Responsibilities:

• Plan and coordinate scheduling of payroll processing with Human Resources and all campus departments.

• Organize and coordinate the accumulation of information and the preparation of documents necessary to prepare each payroll.

• Maintain organized and accurate files related to payroll information and deductions, including adequate documentation of all payroll related transactions.

• Verify information submitted on timecards, calculate garnishments, input all required information for deductions, and execute the payrolls as scheduled to produce accurate and timely payroll direct deposits.

• Balance state retirement, FICA, federal tax, and various deduction listings to control registers.

• Prepare uploads and reports for retirement, FICA federal tax, Tennessee Insurance System and Tennessee Department of Employment Security including preparation of accurate disbursement request and/or transmission funds electronically within deadlines.

• Input deductions into Banner and Edison.

• Download and reconcile Edison to Banner for insurance.

• Prepare, verify and balance information for all payroll related reporting.

• Coordinate with Social Security Administration (SSA) that W-2 information matches the information on file with SSA; otherwise, investigate exceptions and correct prior to printing of W-2s.

• Coordinate the preparation and distribution of W-2s within the time specified by law.

• Coordinate the preparation of all payroll related reporting for the Affordable Care Act and arrange for distribution of 1095-Cs within the time specified by law.

• Answer questions for faculty and staff related to payroll transactions and retrieves information for them as needed.

• Tests Banner as necessary when changes and upgrades are implemented. Communicate with IT personnel regarding any changes or problems in payroll system processing and assist in analyzing and correcting the problem.

• Responsible for maintaining compliance with relevant federal and state laws as well as Motlow and Tennessee Board of Regents guidelines and policies.

• Composes letters, memos, and other correspondence.

• Assists with budget preparations and financial statement preparations as needed.

• Assist in accounting and inventory of fixed asset records.

• Assists in contract review and approval.

• Assists with grant accounting.

• Other duties as assigned.
