Starting Salary Range: $2,929 to $2,992 per month

Job Summary:
Under the direction of Financial Aid management, guides and advises students, prospective students and parents concerning financial aid programs, forms and regulations. Performs revisions to student financial aid awards due to changes in enrollment status, requests for changes in award, and other special revision projects. Reviews and analyzes loan, work-study, or grant reports in order to determine type and level of action needed to resolve data discrepancies or other problems. Conducts individual and group loan debt counseling sessions, work study orientations, and general financial aid workshops for students. May assist with data transmission for program areas such as loans, work-study, and grants. Interpersonal contacts include students, staff, faculty, public, other colleges, federal and state agencies and/or lenders. Incumbent performs technical financial aid processes on an independent basis subject to supervisory direction and review.

Responsibilities/Duties:

- Guides and advises students, prospective students and parents concerning financial aid programs, forms and regulations. Explains complex policies and procedures and answers questions over the phone and at the front counter.
- Assists applicants in completing the various forms required for financial aid eligibility. Researches and resolves problems with document tracking, application status, and check disbursement.
- Performs revisions to financial aid awards according to federal, state, and institutional requirements due to changes in enrollment status, requests for changes in award, and other special revision projects. Monitors individual student awards, resolves data conflicts, and/or over-awards.
- Reviews and analyzes loan, work-study, or grant reports in order to determine type and level or action required to resolve data discrepancies or other problems.
- Reviews documents submitted for financial aid applications, loan applications, and work-study forms for completeness and accuracy. Follows up with students when additional documentation or information is required.
- Prepares documents to verify financial aid eligibility of students for outside agencies. Submits various reports to federal agencies according to strict regulations and deadlines.
- Performs data entry to update Banner system and ELM system, to reflect tracking status of forms, update loan or work-study authorization, job information, and funds acceptance of award letters. Reviews and determines if further action is needed.
- Conducts individual and group loan debt counseling sessions, work study orientations, and general financial aid workshops for students at the college, district high schools and/or in the community.
- Responsible for transmitting application and correction data to and from the federal processor and electronic loan application and funds data to and from lenders or guarantee agencies.
- Creates and maintains complex and technical data bases and paper records which includes electronic transmission of information to outside agencies, data entry, interpretation of data and word processing.
- Manages highly confidential financial aid records and/or archives system. When appropriate, purges records in accordance with federal policy.
- Performs scanning and linking of all requested documents into the document imaging system.
- May be responsible for assisting with the federal work-study program or the Federal Direct Loan program.
- Participates in professional development activities and attends training workshops.
- Performs other related duties as assigned.

Minimum Qualifications:

High school diploma or equivalent. Two years of college level course work in business, social science or related area. Experience performing the duties described above may substitute for the college level course work on a year-for-year basis.

Two years of experience working in an environment which involves providing technical assistance and guidance to others and working with complex procedures and regulations; one year must have been in an academic financial aid office.


Good verbal, human relations and presentation skills required.
Must be detail oriented.
Must have the ability to maintain accurate records and convey complex technical information to students, staff and the public.
Requires keyboarding, filing, math and good problem solving skills.
Computer skills (data entry, document imaging and word processing) required.


WORK ENVIRONMENT:

Work is performed in a normal office environment. Incumbent may be required to work extended hours on an intermittent basis. Some evening and Saturday work is necessary on a rotational basis. Job demands can be difficult due to heavy work flow, deadlines, continual interruptions, changing regulations and competing priorities.

PHYSICAL REQUIREMENTS:

Learned physical skill is required for keyboarding and ten-key operation. May be required to climb ladders and lift/move boxes if responsibilities include archive management.

- Experience working directly with students in a fast paced, high volume customer service environment.
- Knowledge of conflict management principles and strategies to de-escalate confrontational conversations.
- Demonstrated understanding of the key aspects of customer service.
- Ability to work independently and in teams and to move fluidly between the two.
- Ability to prioritize tasks assigned from multiple sources.
- Demonstrated knowledge of state and federal regulations regarding the administration of Title IV aid.
- Has experience working with diverse populations and underserved communities.
- Has experience working with Banner, NSLDS, COD and iFAP, or similar database.
- Understanding of how financial aid plays a key role in overall student success.
