Position Summary
Note- Due to department reorganization it is possible that the job location might change to Sylvania Campus.

A typical day for the incumbent in the Executive Assistant position may include working with the College's Associate Vice-President of Workforce Development and Continuing Education to arrange meetings, review communications, gather data and conduct research, review and triage e-mail communications and respond to various questions and requests for information. The incumbent will work on confidential correspondence and maintain confidential records. Projects will require discretion and collaboration with internal team members, Human Resources, and other departments throughout the College. The environment is fast paced and requires the incumbent to keep track of multiple projects and be able to provide information as requested.

The ideal candidate for this position will be able to function with a high degree of efficiency and accuracy, demonstrate exceptional professionalism, provide outstanding customer service, and maintain strict confidentiality of information. Strong interpersonal skills, the ability to work with a broad range of individuals at all levels of the organization and effective organizational skills are essential for this position. The successful candidate must also have the ability to work in a highly independent work environment, work cooperatively as part of a team, maintain a positive attitude and demonstrate the ability to be pro-active and flexible.

Candidate Profile
These qualifications, skills and abilities are critical for success in this position.
Throughout the screening process, you will be evaluated based on the demonstration of these qualifications.

1. Two years of progressively responsible Executive Assistant experience reporting directly to senior management or person in executive role; and/or at least two years of recent experience providing administrative support to an administrator with oversight of multiple programs.
2. Prior experience performing administrative support at an institution of higher education or workforce development to an area with complex programs/special projects.
3. Strong, demonstrated experience maintaining heavy calendar scheduling.
4. Has experience drafting correspondence and serving as a liaison representative to internal & external stakeholders, community groups and political leaders for a senior level administrator.

Minimum Qualifications

To be considered, your application must demonstrate these minimum qualifications. (Experience is calculated based on the start and end dates you provide multiplied by the number of hours per week worked).

- Associate's Degree in business administration or related field. Relevant experience may substitute for the degree requirement on a year-for-year basis.

- Four years of progressively responsible administrative support experience.

Note: Position may require work from other PCC locations periodically.

Preferred Qualifications

- Has experience with diverse populations in a multicultural setting.
- Familiarity with college workforce development and continuing education programs.
- Ability to effectively manage multiple projects and assignments.
- Working knowledge and understanding of Social Justice issues and Critical Race Theory.
- Experience with event planning and organizing large meetings (50-200 attendees).
- Prior experience performing administrative support in a unionized environment.
- Strong, demonstrated experience working in an extremely confidential environment.
- Experience with all aspects of travel planning.
- Experience with Banner or similar database.
- Proven ability to work independently, occasionally in isolated conditions, while still remaining a critical member of a collaborative team.
- Has experience with budgeting to include preparation, development and organization of tracking systems and monitoring multiple budgets.

Starting Salary Expectations
Normally the starting salary for new employees will be at the entry salary for that level, unless approved for advanced salary placement.

Working Conditions and Physical Requirements
Work is generally performed in an office environment, with frequent interruptions and irregularities in the work schedule. Frequent reaching, walking, standing, lifting, stooping, or carrying of equipment and materials may be required. Incumbents may be required to lift and carry up to 10 pounds.
