Chief Asst to President & Asst Board Secretary

Oregon State University seeks a Chief Assistant to the President and Assistant Board Secretary. This is a key position in the President’s Office, setting a tone and ethic of the highest professional standards for the Office of the President. The Chief Assistant to the President facilitates the work of the President’s Office using exceptional interpersonal skills and collaborative approaches. This position builds connections and relationships in support of the President’s work, rather than acting as a “gate-keeper” for the President, while also balancing the high-level priorities and demands of a fast-paced office. The Chief Assistant interacts with the broad OSU community, including senior administrators, faculty, staff, students, alumni and donors and serves as a key interface between the President’s Office and external constituents. As such, the person in this position must demonstrate OSU’s commitment to being a collaborative and inclusive community. As Assistant Board Secretary, this position is critical to supporting effective relationships between the OSU Board of Trustees and the President’s Office, advising and assisting the Board Secretary, and ensuring the highest quality of materials and communications to the Board. This position requires comprehensive executive, administrative, interpersonal, organizational and operational skills; excellent collaborative skills; exceptional writing and editing skills; and a high level of decision-making and judgment on complex and sensitive issues.

 

This position reports to, and serves at the pleasure of the OSU President. This is a full-time (1.0 FTE), 12-month appointment.

 

As Chief Assistant to the President

As Chief Assistant to the President, this position assists the President and provides oversight and management for a diverse range of confidential, high-level activities within the President’s Office. This position advises and supports the President on various confidential and strategic matters and works with senior university administrators and other colleagues to make effective and strategic use of the President’s time. At the President’s request, this position develops and implements special projects, prepares correspondence and other communications, organizes and supports committees led by the President, and serves as a liaison for the President with internal departments and external entities and constituents. The person in this position is a key team member in the President’s Office and interacts with the President, the Cabinet, deans and institute directors, faculty, students, staff, alumni and friends of Oregon State University as well as with executives and staff of the OSU Foundation and OSU Alumni Association and members of local and state government and national higher education organizations.

 

As Assistant Board Secretary

As Assistant Board Secretary, this position assists the Board Secretary and provides strategic advice and operational assistance to the Office of the Board of Trustees (Board Office). This position assists the Board Secretary, the Board of Trustees, the President, and the Cabinet on confidential board-related matters, special projects, and complex, professional, and administrative tasks in the Board Office. This position assists the Board Secretary with developing, evaluating, and revising procedures and practices for accomplishing Board Office objectives and, in collaboration with the Executive Assistant of the Board Office, is responsible for operations related to Board and Board committee meetings. This position is also responsible for drafting minutes for Board and Board committee meetings. The person in this position is a key team member in the Board Office and interacts with the President, trustees, Board Secretary, Cabinet, students, faculty, staff, alumni and friends of Oregon State University.

Required Qualifications

Candidates for this position must have:

  1. A strong and demonstrable record of commitment to diversity and inclusion
  2. A bachelor’s degree from an accredited college or university
  3. A high level of professionalism and excellent interpersonal communication skills
  4. A minimum of three years of experience supporting senior or executive level administrators and a record of increasingly more responsible positions
  5. An ability to multi-task, prioritize duties, and navigate in a fast-pace environment
  6. Strong problem-solving skills and great attention to detail
  7. Excellent writing, proofreading and editing skills
  8. Demonstrated skills in and commitment to collaboration

 

Preferred Qualifications

In addition to meeting all the required qualifications listed above, it is preferred that candidates meet as many of the following qualifications as possible:

  1. Familiarity or experience with university administration or administration of a similar complex nature
  2. Demonstrated strong organization skills
  3. Knowledge of or experience in public higher education
  4. Ability to see the big picture and also focus on the detail

Imagine that you’ve been in your new job of Chief Assistant to the President and Assistant Board Secretary at Oregon State University for three months.

 

A family approaches President Ray, offering to fund a new initiative. The initiative would bring together faculty from several of OSU’s colleges and the school of public policy to develop a curriculum to help families improve their health. The initiative’s goal is to have the curriculum made available throughout the state through online classes and OSU’s extension service.

 

President Ray asks you to draft a memo from him to the heads of the OSU Foundation, the colleges most likely to be involved in this initiative, the school, and university outreach and engagement to meet to discuss the offer and to sketch out next steps in developing a response.
