Program Coordinator

Africana Studies, Judaic Studies and Women's, Gender & Sexuality Studies

UNIVERSITY OF CINCINNATI

The Departments of Africana Studies, Judaic Studies and Women's, Gender & Sexuality Studies (WGSS) are accepting applications to fill the position of Program Coordinator (NE). This hourly-paid, professional position serves as the primary contact person and provides academic, program and administrative support for these three departments in the College of Arts & Sciences. The position requires strong computer skills - especially using Microsoft Office and other UC software products like UC-Flex, CAT2, Catalyst and CART.

Academic Support
  • Serve as primary contact for department graduate and undergraduate programs and students
  • Provide graduate student assistance including graduation certification, graduate coursework documentation, and graduate student tracking
  • Assist Graduate Director and Undergraduate Directors, as needed
  • Manage and administer data collection prepare various reports when needed
  • Respond to various program-related inquiries (written, in-person, or telephone) from faculty, students, and general public
  • Work collaboratively with graduate school staff on student and program issues
  • Serve as primary coordinator for course orders and tracking
  • Maintain departmental blackboard/canopy departmental information
  • Coordinate special events, program meetings, guest lecturers, etc.
  • Maintain confidentiality of information


Administrative Duties
  • Schedule classrooms, meetings and appointments; prepare agendas and other documents for distribution at meetings and events. Maintain calendars, grade lists, etc.
  • Provide administrative assistance including making copies, filing, sending faxes, distributing mail, key management, answering telephones, etc.
  • Make departmental purchases via P-Card
  • Reconcile and allocate P-Card charges monthly
  • Process expense reimbursements
  • Perform related duties based on departmental need
  • Update department websites and content regularly
  • Aid in communication with alumni
  • Aid in event planning (e.g., scheduling and arrangements)
  • Aid in marketing (e.g., advertising courses and events)


Financial Duties
  • Serve as back-up to the Business Administrator, as needed
  • Monitor and track event expenses


HR Support
  • Serve as primary UC-Flex Timekeeper for hourly positions
  • Process hiring requests for Work Study, Student Worker, & Graduate Assistants


Minimum Qualifications
  • Bachelor's degree with 1 year experience; OR Associate's degree with 3 years' experience; OR 5 years' experience. Experience must be in program coordination.

Ideal Qualifications
  • Knowledge and experience working with Microsoft Office products required
  • Experience working with SAP (UC-Flex), CAT2, Slate, Catalyst, and CART preferred
