FMLA Administrator

The Department of Human Resources is looking for an FMLA Leave Administrator. This position will report to the Manger of Leave Administration and will perform a variety of leave administrative responsibilities related to FMLA, time off work, and other leave of absences. In addition this person will support the University's mission and commitment to excellence and diversity in our students, faculty, staff and all other activities.

Essential Function

Under general supervision from a designated administrator, review, analyze and evaluate FMLA-related leaves of absence. Responsibilities include employee and supervisor counseling on FMLA policies and processes, UCFlex updates and leave tracking. Ensure compliance with applicable federal and state laws as well as university policies and collective bargaining agreements.

Characteristic Duties
  • Serve as Leave of Absence and FMLA coordinator.
  • Administer FMLA paperwork, review documentation (including Certification forms), confirm employee eligibility and make recommendations to approve or deny requests in compliance with Federal regulations.
  • Maintain confidentiality of all FMLA records.
  • Develop and facilitate training sessions as requested for UC time off work, Leaves of Absence and FMLA.
  • Update UC Flex, prepare reports and conduct audits; analyze data to identify errors and resolve.
  • Interpret and apply legal documents, regulations and government legislations with knowledge of Leaves of Absence and the laws that affect them, including HIPAA, ADA, USERRA, EEO, PDA, and Workers' Compensation.
  • Serve on appropriate university committees.
  • Perform duties based on departmental need.


Minimum Qualifications
  • Bachelor's Degree in Human Resources, Business, or related field with three (3) years of experience; -OR- Associate's Degree with five (5) years' experience; -OR- seven (7) years experience.
  • Three years of FMLA, and return to work administration experience.
  • Excellent written, verbal and interpersonal communication skills to interact effectively with faculty, staff, students and community members of diverse backgrounds.
  • Demonstrated competence with MS Word, PowerPoint and Excel
  • Ability to work independently, including strong logistical coordination and organizational skills to manage multi-projects and meet deadlines.
  • Demonstrated high level of integrity and confidentiality.
