Business Manager (Biological Sciences)

Department of Biological Sciences

UNIVERSITY of CINCINNATI

The Department of Biological Sciences at the University of Cincinnati is accepting applications for the soon-to-be-open position of Business Manager. The Business Manager position reports to the Department Head and works closely with him or her on a variety of duties, as outlined below. In addition to Biological Sciences, the Business Manager in this role also provides business and accounting support for Environmental Studies, Neuroscience and the UC Center for Field Studies. The Business Manager is also the liaison between the department and the College Business Office.

POSITION DUTIES

Grants and Sponsored Research:

- Proposals - work closely with PIs to create budgets, justifications, and other forms, while maintaining adherence to sponsor guidelines, enter proposal info into the various agency portals, create COEUS routing and track internal approvals

- Awards - work closely with SRS award management staff and PIs to set up accounts/budgets for new grants, using UCFlex manage expenses, ensure agency financial guidelines are followed, complete Labor Verification Forms and EXC Calculation Templates for EXC, based on faculty effort, process PCRs for payments, track effort to be sure faculty are committing the time budgeted, without going below specific levels, nor above the max allowable payments, assist PIs with annual and final reports, no-cost extension requests, work with SRS accounting staff to perform financial close-outs on grants, etc.

Non-grant Funds:

- Work with Department Head to create expense budgets, track expenses, gather information and compile ITIE requests, monitor STEM funds usage, create reports, reconcile fiscal year end, make sure expenses are appropriate to the funds used and follow University policies, all funds budgeting, etc.

Purchasing, P-Cards and Travel:

- Using the Concur online system, the previous paper system, or UCFlex, to perform all all purchasing, reimbursements, and travel in the department, follow up on orders and reimbursements to ensure items are processed in a timely manner

- In the Concur system, verify P-card charges and check allocations for account accuracy/appropriateness of expenses monthly for all faculty and staff holding P-cards

Trouble-shooting:

- Work with faculty finding solutions to a wide variety of business-related and financial problems from simple to complex

ESM Processor:

- Initiate electronic contract approvals for the department anytime signatures are needed from the University

Field Station:

- Pay invoices, track all finances related to UCCFS, complete UCCFS service center questionnaire

Other Duties:

- Recruit, train and supervise office support staff for the Department

- Update Asset Inventory in UCFlex

- Bill for UCCFS service center and UCRI

- Back up for ordering keys and ids

- Hourly time approver for department

- Work with Dpartment Head and Program Coordinator to create, update, and implement new policies, procedures, and relevant forms, for the Department of Biological Sciences

MINIMUM QUALIFICATIONS: Bachelor degree with three (3) years of experience; -OR- Associate degree with five (5) years of experience; -OR- seven (7) years of experience. Degree must be in Business Administration or related field. Financial and administrative experience is required and must include one (1) yearsupervision.
