Part-Time Secretary, Department of Languages and Literatures

Job Description

ESL Program

  1. Provide assistance to the ESL Program Coordinator, Faculty and Adjuncts.
  2. Prepare time sensitive ESL Instructor appointment forms and contracts. Submit to the Dean's Office for processing.
  3. Maintain accurate records of proctoring hours for processing payments
  4. Work directly with the ESL Program Coordinator to create the ESL semester schedules.
  5. Assist ESL faculty with Concur and Banner issues.
  6. Maintain updated confidential ESL faculty files.
  7. Work on E-Portfolio to update all ESL course outlines and syllabi.
  8. Assist existing and new ESL international students with questions about the program, registration and requirements.
  9. Schedule students for ESL testing and go over the many components of the exam individually. Give directions for new online system testing.
  10. Order and maintain adequate ESL testing material.
  11. Inform students of their ESL exam results and explain how it affects their academic status, good or bad. Discuss the options available to complete their requirement.
  12. Monitor student registration to keep track of requirement fulfillment and place holds accordingly as well as remove them to maintain student progress.
  13. Assist students to resolve any issues, problems or complaints as well as directing them to the appropriate resources. Direct them to resources provided by the university such as tutoring at the GLCC and the Writing Center.
  14. Maintain accurate ESL calendar of events for meetings, deadlines, etc. Reserve rooms for meetings and testing.
  15. Greet visitors and address all inquiries adequately as to avoid campus runaround.
  16. Answer the phones in a courteous manner, assist callers and take messages.
  17. Provide coverage when necessary for other office functions when necessary.
  18. Other responsibilities as assigned by Department Chair.


Qualifications Required of the Candidate

  • High School Diploma Required. Some college preferred
  • Minimum 4-5 years of experience, preferably in languages and ESL
  • Good People Skills
  • Familiarity with Computer Programs
  • Knowledge of a foreign language preferred
  • work up to 20 hours per week
