Admissions Support Assistant (Temporary Position)

Job Summary:

Reporting to the Associate Director of Graduate Enrollment Management, this individual will primarily serve as the admissions processor for all Tobin graduate programs. This individual will also assist with the day to day operations of the TCB Graduate Admission's Office. The Admissions Support Assistant will have daily contact with students and will also work closely with prospective graduate students and other members of the University Community. He/she must be highly motivated and have the ability to analyze, organize and see a task to its completion and be dedicated to our student service goals as well as our Vincentian Mission.

Responsibilities:
  • Manage the application process for the Tobin graduate division. Duties include receiving applications through Embark, pushing applications through Recruit, assigning ID #s through Banner, uploading all pertinent information through Workflow and Recruit, processing all incoming mail, and matching test scores to missing items database. Upload application documents into databank and upload information onto an access share drive. Process, compile and send all domestic and international admissions emails and letters.
  • Daily correspondence with students at various points within the application process to encourage application submission, inform of missing and received documents, and ultimately an admissions decision. Prepare various documents and reports giving considerable attention to accuracy, detail, style, spelling, grammar, and timely completion.
  • Provide clerical and administrative support to the graduate advisement staff, including but not limited to basic office duties, answering phones, distributing mail, faxing, correspondence, filing, ordering supplies, and coordinating meetings and events, utilizing the appropriate technology when applicable. Provide coverage for the Graduate Admissions Office as needed. Ensure that supplies, forms, records, brochures, etc. are efficiently managed and available at all times.
  • Provide quality customer service to students, faculty and administrators, including responding appropriately to inquiries and directing callers to the appropriate resource for further assistance. Greet prospective and current graduate business students when they enter the office and provide general information and assistance. Ensure that complete, accurate, and up-to-date information is available to the enrollment team.
  • Provide support at orientation and other required functions. Occasional evening and weekend hours may be required.
  • Delegate and prioritize tasks for student workers. Provide guidance, supervision, and feedback. Monitor student hours to ensure they do not exceed available grant or budget funds. Provide and validate student hours worked to Assistant Dean responsible for approving time sheets in an accurate and timely manner.
  • Assist with special projects as assigned by the Assistant Dean & Associate Director of Enrollment Management.
  • Performs other duties as assigned.



Qualifications:
  • High School Diploma
  • One to two years experience
  • Prior experience in creating, writing, importing and querying databases using MS Access is required.
  • Experience using Microsoft Excel to present data in tables and charts is strongly preferred.
  • Experience with student information systems, preferably Ellucian's Recruit and Oracle's Banner.
  • Intermediate skill level required for the use of Microsoft Word and PowerPoint.
  • Working knowledge of Recruit is desired.
  • Must be able to safely operate office equipment (i.e. computer, copier, fax, printer, and phone.)
  • Must possess excellent time management and organizational skills, initiative, and resourcefulness. Must exhibit flexibility and be able to perform successfully when challenged by changing workflow priorities.
  • Must have excellent customer service skills and effectively work as a team player.
  • Must be able to gain and maintain confidence and cooperation of faculty, administration, and students. Individuals should possess good listening skills and be able to communicate effectively, both orally and in writing.
