Position/Job Summary

The Office of Human Resources is seeking an intuitive self-starter to perform a variety of advanced and confidential administrative duties in direct support of the Vice President for Human Resources. The successful candidate will serve as the point of contact for, and manage the calendar of, the Vice President; compose and prepare letters and other confidential correspondence; assimilate data and prepare reports and presentations; assist in the planning and coordination of engagement events, functions and special programs; and oversee and maintain the department budget.

Specific duties include:
1. Serve as the point of contact for the Vice President for Human Resources and assist in a variety of administrative areas to relieve the vice president of administrative details; screen visitors and provide information. Develop and maintain effective working relationships within the department, division, the campus community, and with other individuals having contact with the Vice President's office. Work directly with the Office of the President, and other vice presidents' offices regarding business matters.

2. Manage the Vice President's calendar, appointments, and travel. Review and assess the urgency or priority of requests for appointments, and make necessary arrangements. Draft, compose, prepare and edit a variety of documents, presentations and written correspondence on behalf of the Vice President and the Office of Human Resources. Maintain confidential correspondence, demonstrate discretion and understand the personnel, organizational and legal impact of the information maintained. Plan and prepare agendas and reports and support the Vice President as a representative on local, state and national committees and boards.

3. Manage complex meeting, appointment, and travel schedules for the Vice President. Make reservations, arrange accommodations, and create itineraries for the Vice President. Schedule any divisional meetings and/or retreats on staff's calendars.

4. Assist with the planning, organization and coordination of engagement events, functions and special programs such as the holiday luncheon, college picnic, and the employee recognition lunch; prepare invitations as necessary.

5. Develop, demonstrate, and promote multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate a commitment to diversity and inclusion as a college priority, communicate to employees an expectation of behavior that is civil and inclusive when interacting with all staff, faculty, students and visitors and promote a flexible, collaborative and inclusive work and living environment.

6. Develop and maintain a variety of spreadsheets, charts, data graphs and graphical presentations using various software packages. Compile materials for meetings, and develop power point presentations.

7. Prepare and manage the Office of Human Resources budget(s); oversee and monitor the processing and reconciliation of expenses to include requisitions, balance transfers, and processing of payroll information. Approve purchases and processing of purchasing transactions and payments through the Financial Information System Parnassus. Process travel and expense reports, and order office supplies. Maintain budget records and track financial commitments for specific events, programs, and/or activities. Ensure decisions made are fiscally sound and in line with the financial targets and goals of the Office of Human Resources.

8. Order and renew departmental subscriptions, publications and supplies.

9. Manage special projects, event planning and ensure key stakeholders are involved in all phases of the project.

Position/Job Responsibilities

Position/Job Qualifications

Associate's degree and a minimum of four years' experience providing administrative support for senior or executive level management or the equivalent combination of education and experience; excellent attention to detail; strong interpersonal and written and verbal communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; extensive knowledge of software applications to include, spreadsheet and presentation software packages; previous experience managing and maintaining office budgets; and demonstrated ability to handle confidential information required. Previous experience working in a college or university setting is preferred.
