CLINICAL TRIALS SYSTEMS ADMINISTRATOR

Job Description: The ECU Brody School of Medicine and Division of Health Sciences Office of Clinical Trials is an established office that focuses on the development, pre-award processing, and conduct of clinical trials research at ECU, at Vidant Health Systems, and across the region.

This activity requires the careful processing of a wide variety of informational products related to clinical research across multiple departments, offices, schools, colleges, and with external sponsors, and partners.

The main focus of the Clinical Trials Office is to provide support for clinical research. By working closely with investigators, we strive to provide pre-award services, post award monitoring, and approval process for research clinical trials.

The position reports to the Director of Clinical Trials and has accountability for developing, monitoring, and maintaining systems to manage clinical trials in all specialties.

This position will develop the protocol for the Clinical Trials Management System to be followed by all clinical trial participants.

The Clinical Trials Systems Administrator will work closely with investigators, and other study team members to analyze research data.

The administrator will through the understanding of the impact of downstream effect of functionality build and maintain a research study management system including parameters, cycles, procedures, time tolerances, interpretation of research assessments, and develop schemas for each research study.

Duties of the Clinical Trial Systems Administrator include:

Oversight and coordination of the initial development of the Clinical Trial Management System (CTMS), ensuring all modules including clinical research, billing compliance, and patient registries are designed for maximum efficiency.

Serving as the resource to modify, upgrade, and ensure on-going full system implementation and continual support and management of the system.

Working with CTMS vendors to develop training programs and schedules for the initial system go-live.

Responsibility for on-going training needs assessment and ensuring all persons utilizing the CTMS are competent to perform functions necessary for work on the clinical trials.

Maximizing CTMS system efficiency by working collaboratively with IT teams to integrate the Clinical Trials Management System with other clinical operating system such as the electronic medical record system.

Serving as the liaison for the Clinical Trials Office to ECU Researchers.

Serving as the primary end-user support contact for assigned user groups.

Consulting and collaborating with the clinical research management team to review reporting needs and developing reporting mechanisms

Analyzing data for real time metric reporting and financial management and tracking for all clinical trial activity.

Ensuring compliance with standards of the Medical Center Organizational Competencies.

The Clinical Trials Systems Administrator ensures accurate and comprehensive tracking of all clinical trial revenue generation, receipt and appropriate allocation of research funds, confirms standard of care processes are flagged for insurance and ultimately ensures the financial management and required reporting of all clinical trials.


Minimum Qualifications: Bachelor's degree in HealthCare Administration, Education, Public Administration or Information Systems.

Three years management level administrative experience.
