Research Library Services Manager, UDO Research



Duties & Responsibilities

SUMMARY:
Reporting to the Director of Research, the Research Library Services Manager provides in-depth historical and archival research support for fundraising initiatives, special events and senior administration travel. Research includes unique, cited Harvard historical research in the form of Harvard/regional historical relationship timelines, multigenerational family trees, archival and demographic research directly for requestors including but not limited to the University President and Provost. Acts as a content owner of the AAD intranet (the Source), responsible for designing, editing, and sourcing new content for University wide Research team pages. Acts as active member of the Source Content Owner Committee, an AA&D-wide team evaluating Source content and user experiences; and actively participates in University wide Library committees that determine critical resource and cost sharing opportunities. Creates, manages and implements the AA&D Records management policy. Provides records management consultations in line with the policy. This position orders, receives, and catalogues print and digital library materials using Harvard's online catalog for the small but unique collection within AA&D. Periodically reviews and reconciles collection in Harvard's Library Catalog, and makes selection decisions for our unique collection of Harvard history and fundraising content. Manages 40+ periodicals through subscription vendor.

The Research Library Services Manager may also manage and direct the work of one to two part time student workers within annual budget allocations. As a member of the Research department, the Research Library Manager provides administrative support and troubleshooting for 35+ research tools used by 19 members of the research department. The Research Library Services Manager also provides information on new resources available, participates in special projects, networks with Harvard librarians, attends training classes and seminars, and does training and outreach to the Harvard Alumni Affairs and Development community. Working with AAD stakeholders and the Harvard Library, acts as technical and logistical lead to downsize the UDO Library physical collections (including materials in offsite storage) and footprint.

Duties & Responsibilities (continued in Additional Information)

Research, synthesize, write and edit Regional/Country Harvard Historical Relationship reports for use directly by but not limited to: University President and Provost, Presidential speech writers, UDO: International; University Trademark Office; AA&D Communications; and Events. Coordinate report production timeline with multiple AAD and University Stakeholders.

Research, write and edit Harvard Class Profile documents to be used for publishing in HAA Harvard Class Reports and for reunion planning and speeches.

Archival research and fact checking for but not limited to: AAD Senior management and administration, Research, HPAC; Events, Stewardship, Communications, Donor Relations and Mass Hall.

Provide intermediate level database administration in maintaining and enhancing UDO Research specific databases including but not limited to the Non-Profit board database and central files (donor and subject files) databases.

Basic Qualifications

1. Bachelor's degree required. Masters of Library Science degree required.

2.Two years reference experience required. Database development/administration and project management experience preferred.

Additional Qualifications

1. Demonstrated experience with and understanding of online databases and content management systems and their administration.

2. Familiarity with online library technical services (cataloging) software and Library of Congress cataloging procedures.

3. Ability to be creative, flexible and self-directed.

4. Knowledge and understanding of the Harvard community and of development research, and fundraising preferred.

5. Excellent editing, writing and organizational skills; excellent computer skills, ability to prioritize and analyze confidential information with discretion required.

Additional Information

DUTIES & RESPONSIBILITIES cont:

Consult and coordinate with UDO departments re: records appraisal, transfer and storage (University Records Storage DD account or Harvard University Archives). Look for ways to cut long-term records storage costs and manage University risk by actively monitoring and managing records storage account. Provide education around AAD records management (proposed) policy.

Oversee cataloguing and information management of the University Development Office Library and University Research intranet pages. Educate and assist University-wide development staff in use of electronic and print library resources.

Periodically assess value of electronic and print collection and make appropriate recommendations for improvements. Weed unused items in library collections including reconciling changes in Harvard's library catalog Hollis
Use best practices and coordination with Harvard Library administration redistribute materials within Harvard, donate externally or recycle materials.

Foster contact with other professionals and libraries in and out of Harvard by participating on committees and in activities of professional associations. Continuously explore eResources cost share within the Harvard Library Community through participation in Harvard eResource group ERIN.

Perform in-depth electronic and library research. Handle all requests for Harvard historical information. May act as research liaison for fundraising clients.

Use Lexis-Nexis, Factiva, Capital IQ, Relationship Science, Leadership Directories, iWave and other fee-based Research tools, as well as library and web based resources to locate and decipher information that is useful to fundraisers.

Use sound, ethical judgment, creativity and self-direction to work independently while keeping focus on resources most useful to fundraising objectives.

Manage student positions as needed.
