Office Coordinator I



Function:

The purpose for this position is to coordinate the daily operations of the Facilities Rental department. This position provides the financial support for facilities rental including customer invoicing and accounts receivable management, reconciliation of the ABC Event Manager and Colleague systems, and budget monitoring. Additionally it provides a supportive role in event planning and rental of college facilities, research and analysis of reports and data, and development and execution of marketing functions for the facilities rental department. This position provides general clerical support for facilities rental.

Essential Responsibilities:

1. Oversee the accounting and budget process for the Facilities Rental Department.
2. Provide event planning support for internal and external clients for facilities rental in the absence of the Event Coordinators or Scheduling Specialist, or to assist during high volumes seasons as needed by the department.
3. Coordinate and perform administrative duties for the Facilities Rental Department.
4. Collaborate with the Marketing department to develop appropriate and cost effective communications for the purpose of increasing utilization of college facilities and resources specific for facilities rental.
5. Actively market ECC facilities and resources to others and assisting in the organization of promotional events and traditional or digital campaigns and attend them to facilitate their success.
6. Conduct market research.

Position requires close visual acuity to perform activities (i.e. preparing/analyzing data and figures; transcribing; viewing a computer monitor; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines; using measurement devices; and/or assembly or fabrication parts at distances close to the eyes).

Typical office or administrative conditions (i.e. not substantially exposed to adverse environmental conditions).

Required Qualifications:

1. Associate's degree required, preferably in business, accounting, hospitality or related discipline.
2. Proficient with Microsoft Office Suite (i.e., Word, Excel, Power Point, Publisher and Outlook).
3. One year of customer service experience.
4. One year experience with accounting software and accounting procedures.
5. Keyboarding skills.
6. Possesses a current food service sanitation license and CPR certificate or has the ability to obtain them.
7. Ability to listen, communicate (written and verbal), excellent grammar, spelling and proof reading skills and follow-up effectively with all staffing levels and clients/customers.
8. Ability to perform well under pressure at high levels in a fast paced ever-changing work environment.
9. Demonstrable ability to multitask, prioritize, work efficiently, and adhere to deadlines.
10. Ability to work independently and interdependently across departmental lines.
11. Well organized with a customer-oriented approach.
12. Accuracy, attention to detail and self-correcting.
13. Flexibility to adapt to all situations and be able to work a flexible schedule which includes days/evenings/weekends/holidays as needed by the department.
14. Ability to stand for long periods of time.

Desired Qualifications:

1. Associate's degree in business, accounting, hospitality or related discipline preferred.
2. Previous work experience in a college environment.
