Program Coordinator, Museum Studies

PAY GRADE: 28E

CONTEXT OF THE JOB:

Under the general direction of the Chair of the History Department and the Faculty Director of the Museum Studies Program, the Program Coordinator has a full range of operational program duties. These include administration of both the graduate Museum Studies certificate program and the undergraduate Museum Studies minor; communications and marketing efforts for both Museum Studies programs; internship and job placement coordination for both MSST minors and HIST majors; participation in strategic projects aligned with the goals of the History Department and Museum Studies Program; and daily operation of the Museum Studies office. The position requires handling multiple assignments concurrently. Individual is expected to build sustainable engagement and support for the Museum Studies programs to bolster enrollment and foster program development. A high level of independent judgment, initiative and problem-solving skills are required. This position is proactive and results-oriented. Located for administrative and budgetary purposes within the Department of History, the Museum Studies Program serves students from departments and programs across the College of Arts and Sciences.

MAJOR RESPONSIBILITIES:

For the Department of History and Museum Studies
  • Works with the Museum Studies Director, the History Department's Undergraduate Studies Director, and UD Career Services staff to coordinate and/or develop undergraduate internships for HIST majors/minors and MSST minors.
  • Develops, monitors and analyzes marketing and information campaigns to students, faculty, alumni and professionals with ties to the Department of History and Museum Studies.

For Museum Studies
  • Program administration for growing graduate certificate program in Museum Studies (currently, 42 students) and new undergraduate minor in Museum Studies (35 enrollees in inaugural year of program, AY 2016-2017). Ensures that program activities operate within the policies and procedures of the University of Delaware. Record-keeping including budget management and student files. Manages program evaluation activities and faculty advisory committee meetings. Responds to, and resolves, inquiries relating to the Museum Studies program through emails, telephone calls, and in-person office visits.
  • Creates and updates website content for Museum Studies Program pages. Designs and creates content for print media and digital e-blasts promoting Museum Studies program activities. Creates and manages content across multiple social media platforms for Museum Studies, including Facebook, Linkedln Groups, Twitter, Instagram, Blogger and Mailchimp.
  • Website development and maintenance (WordPress and HTML). Ensures that the website is updated weekly and provides correct information for students, faculty and area museum professionals.
  • Database management, including oversight of Museum Studies professional opportunities newsletter (MuseWeekly) on MailChimp (approx. 4,200 recipients) and alumni database (approximately 700) used for mentoring and placement. Responsible for list growth and maintenance.
  • Marketing and publicity for Museum Studies Program graduate certificate and undergraduate minor, including via online platforms, bi-annual newsletter, representing the program at conferences and on-campus events, and participation in regional events.
  • Supports grant applications and performance of grant-funded work by the Museum Studies Program. Researches and identifies funding opportunities. Working with the Program director, coordinates proposal efforts and assists in the preparation of proposals and grant applications.
  • Organizes and supports professional development workshops for students and regional museum professionals. Topics have included e-portfolios, building your personal brand, social media for museums, and website development for museum professionals.
  • Daily supervision of graduate assistants and/or undergraduate work-study students.
  • Administrative support for Museum Studies Program adjunct faculty. Technical support; assists with digital class projects.

For the Museum Studies Graduate Certificate Program
  • Intake, advisement of graduate students regarding curricula, course registration, degree requirements, form completion, and program policies and procedures, working in and generating reports from UDSIS.
  • Provides technical assistance for student media projects associated with coursework.
  • With program director, assists in planning and execution of student service projects including the annual Collections SWAT Team (collection care and management assistance for a regional museum) for graduate students during Winter session, including two weeks on-site at regional locations.

For the Museum Studies Undergraduate Minor
  • Intake, advisement and management of undergraduate Museum Studies minor, and checkout for completion of certificate.
  • Maintaining comprehensive list of internship sites and developing ongoing relationship with site supervisors and institutional staff. Monitor or oversee undergraduate work in internship and project settings.
  • Working with University of Delaware and area cultural organizations, continue and/or develop internship and group project opportunities. Create appropriate paperwork for projects and provide on-site supervision, as necessary.
  • Working with advisory committee and Museum Studies Program director, develop multi-year schedule of program offerings. Assist in development of new course proposals.

QUALIFICATIONS:
  • Bachelor's degree with two years' academic program coordination related experience, or equivalent combination of education and experience.
  • Experience and proven success in developing pitches and garnering media placements, and social media content development. Familiarity with website management practices, including work roles, workflow and versioning.
  • Excellent written and verbal communications skills.
  • Strong critical thinking and problem solving abilities.
  • Ability to manage several projects simultaneously and meet deadlines.
  • Working knowledge of Social Media, including Facebook, Twitter, Linkedln, and Instagram, and best practices in a professional setting as well as an understanding of web standards. Familiarity with Hootsuite desirable.
  • Skills in Word Press, HTML, and Photoshop software strongly preferred.
  • Video editing experience is a plus.

SPECIAL REQUIREMENTS:
  • Must be able to work some evenings and weekends.
  • Must be able to represent the Museum Studies Program at professional meetings and conferences.
  • Some travel required.
  • Effective writing, research, and editing skills.
  • Ability to communicate and interact well with people of all ages and diverse backgrounds.
  • Ability and experience with spreadsheet and presentation software.
  • Knowledge of standard office software, web editing tools, and social media. Experience with publication design programs (Adobe InDesign, Microsoft Publisher) is an advantage.
  • Understanding of key practices, policies and guidelines in federal and state-level contract and grant administration preferred.
  • Experience with University of Delaware financial systems is a plus.
