Graduate Services Coordinator, School of Public Policy and Administration

CONTEXT OF THE JOB:

The School of Public Policy and Administration (SPPA) provides undergraduate and graduate education, research, and public service in the fields of leadership, urban affairs, public policy, public administration, energy and environmental policy, and disaster management. The School hosts approximately 30 faculty and 55 professional staff in addition to approximately 270 undergraduate majors, 250 undergraduate minors and 250 graduate students in its 10 academic programs.

SPPA's administrative office oversees financial management, human resources, internet technology, recruiting and admissions, undergraduate and graduate student services, public relations and marketing, and alumni relations and fundraising. The incumbent, who reports to the Senior Business Administrator, will complete tasks to include organizing and coordinating administrative activities in the areas of academic support services. The incumbent will be responsible for understanding SPPA's academic programs to include the administrative operations necessary to ensure appropriate implementation and an excellent student experience. The incumbent performs support services of a diverse and complex nature. A high level of independent judgment and the ability to prioritize is required to manage multiple duties.

The incumbent must have knowledge of the various undergraduate and graduate curriculums in the School.

MAJOR RESPONSIBILITIES:
  • Work closely with the Center Directors to develop strategic and administrative processes for academic program support regarding recruiting, admissions, funding, and academic program administration.
  • Interact with graduate students via email and in person to answer questions about the graduate program and offer direction.
  • Act as facilitator to graduate students as they progress through the programs.
  • Oversee undergraduate and graduate academic services.
  • Work closely with academic program directors to implement programs.
  • Provide input and resolve issues with course scheduling and academic program curricular changes.
  • Provide coordination and support to ensure student progress toward degree completion.
  • Work with centers and program directors to coordinate and implement student funding including funding letters and student contractual agreements for graduates on contract.
  • Provide administrative support to students through the thesis and dissertation process.
  • Track graduate student progress.
  • Complete and/or oversee the completion of graduate checkout.
  • Provide academic data for accreditation and academic performance reviews.
  • With assistance from the Associate Directors and Program Directors, develop a recruitment strategy for graduate students and implement and oversee strategic initiatives.
  • Provide programmatic input to the Communications Specialist, who prepares electronic and written recruiting and program information.
  • Correspond with prospective students throughout the inquiry and admission process.
  • Manage graduate admissions and provide support to the graduate admissions committees.
  • Plan, direct, and participate in on-site graduate student recruiting events.
  • Manage graduate applications through Slate with all data on applicants (pending, admitted, rejected, and matriculating).
  • Work independently and supervise staff.
  • Perform miscellaneous job-related duties as assigned by the Senior Business Administrator.


QUALIFICATIONS:
  • Bachelor's degree with three years' related experience, or equivalent combination of education and experience. Degree in the field of public policy, public administration or urban affairs preferred.
  • Effective communications and public relations skills.
  • Proficient computing skills.
  • Experience with spreadsheet and database software.
  • Ability to collect data and provide analysis.
  • Ability to coordinate large events and deliver presentations.
  • Ability to make independent procedural decisions/judgments.
  • Skill in organizing resources and establishing priorities
  • Ability to maintain confidentiality of student admissions, situations, and funding decisions
  • Experience in graduate recruitment, admissions, and retention issues (including academic planning and financial assistance at the graduate level) preferred.
  • Knowledge of programs and services available to university graduate students preferred.
  • Supervisory experience preferred.
