Associate Director, Communications and Marketing

PAY GRADE: 30E

DEADLINE: OPEN UNTIL FILLED

CONTEXT OF THE JOB:

Reporting directly to the Vice President for Communications and Marketing, the Associate Director manages the day-to-day operations of the Office of Communications and Marketing, including a broad range of administrative details of highly complex and confidential nature on regular basis, requiring initiative and judgment to make independent decisions.

MAJOR RESPONSIBILITIES:
  • In consultation with the Vice President, develop and administer a $6.5M budget with budgetary authority.
  • Serve as chief of staff for the Vice President, responsible for prioritizing the projects that demand the Vice President's time and attention; prepare agenda and materials for meetings; provide monthly reports, and other special reports as requested; coordinate the department's university-wide communications related meetings.
  • Organize and manage communication projects on behalf of the Vice President.
  • Follow up on assignments delegated to Vice President's direct reports as to status and completion of projects. Independently addresses requests and issues insuring timely replies, resolution and full closure. Communicate orally and in writing on behalf of the Vice President. Occasionally represent the Vice President at meetings when needed.
  • Provide advice to internal and external constituents on policies, procedures as well as organization specific issues.
  • Work collaboratively with other senior administrators on a variety of issues, and coordinates reports, meetings, agendas and itineraries as needed.
  • Develop and maintain administrative and office management systems; implements new strategies and procedures.
  • Supervise one Administrative Assistant who is responsible for providing administrative support for the Vice President, including scheduling appointments.
  • Serve as HR Liaison, handling human resources related processes and providing guidance and assistance to OCM staff regarding personnel issues and University procedures. Manage contract and vendor relations for the office, interacting with procurement and other University departments.
  • Serve as building administrator to handle and maintain office space and equipment inventories and building security records.
  • Perform other communications generalist job-related duties as assigned.


QUALIFICATIONS:
  • Bachelor's degree and three years of related experience, or an equivalent of education and experience. (Degree in English, Journalism, Communications, Marketing, Public Relations, or related discipline preferred).
  • Knowledge of UD general accounting system preferred.
  • Advanced computing skills (word processing, database, presentation software), and knowledge of computerized information systems used in financial and/or accounting applications.
  • Ability to demonstrate confidentiality and good judgment regarding important business and employee relations matters.
  • Must be self-starting/motivated and able to manage a variety of projects simultaneously.
  • Knowledge of budgeting and accounting principles.
  • Knowledge of organizational practices.
  • Skill in project management and execution.
  • Skill in coordinating activities, evaluating data and establishing priorities.
  • Ability to work independently.
  • Ability to supervise and train staff preferred.
  • Demonstrated skill in writing and editing a variety of communications pieces.
  • Excellent written and oral communication skills, including a demonstrated ability to inform, explain, inspire and persuade through the written word.
  • Good interpersonal skills and the ability to work effectively with University leadership, faculty, staff and creative professionals. Ability to communicate effectively and interact well with people of all ages and diverse backgrounds.
