Assistant AD/ Head Equipment Manager

PAY GRADE: 29E

CONTEXT OF JOB:

The Assistant AD/Head Equipment Manager, at the University of Delaware is a valued member within the University and Department of Intercollegiate Athletics and Recreation Services (DIARS), upholding and embracing the departmental mission of "Inspiring Greatness Together." This position reports to the Sr. Associate AD, Athletics Chief Financial Officer.

Oversee and manage the Athletic Equipment Room for the University's 21 NCAA Division I varsity programs and spirit program within University of Delaware, Conference, and NCAA guidelines. The incumbent will oversee the department's apparel and equipment contracts including negotiating, ordering, distributing and placing into inventory all appropriate and necessary apparel and equipment for each of the University's 21 NCAA Division I varsity sports and spirit program. The incumbent will also have oversight of the Adidas apparel ordering and approval process for DIARS including recreation services, ice and pool, department administration, and institutional camps and clinics. The incumbent will ensure athletic equipment meets all safety standards and requirements. Essential tasks will include but are not be limited to: serve as account manager for athletic apparel and equipment contracts; day-to-day management of assigned sports; attend national meetings or conventions to maintain CEU's for AEMA certifications and remain current on safety of equipment issues and changes; developing, forecasting, and maintaining budgets associated with the athletic equipment budget and sport budgets; oversight and management of the equipment staff consisting of 2 Assistant Head Equipment Managers, a Head Football Equipment Manager, interns and a student staff.

Major Responsibilities:

Leadership Oversight (40%)
  • Responsible for the leadership and management of a high functioning Equipment team, which includes oversight, evaluating, hiring, and developing assistant equipment managers, Head Football Equipment Manager, interns, and student-workers.
  • Responsible for ensuring staff members are properly fitting and refurbishing equipment for Football and Olympic sports who require equipment recertification and refurbishment annually.
  • Ensure the annual repair and reconditioning of football equipment (helmets and shoulder pads). Helmets are tested by National Operating Committee of Standards for Athletic Equipment (NOCSE) and certified for use.
  • Manage the day to day operations of the BCC and DFH Equipment Rooms, and supervise the staff of both to ensure proper procedures. Manage equipment room staff work schedules, payroll, and work assignments.
  • Ensure the transportation of football athletic equipment to off-campus events is executed by the Head Football Equipment Manager.

Administrative Oversight (55%)
  • Ensure safety measures are being implemented and executed through communication with team physicians and athletic training staff.
  • Oversight and point of contact for the department's apparel and equipment contract.
  • Oversee and collaborate with both administration and equipment staff on general issue and vendor allotment distribution in accordance with apparel contracts.
  • Prepare requisitions and request purchase orders for new equipment; receive shipments; check against orders; release invoices for payment; record and store items in the proper locations.
  • Analyze-and evaluate competitive quotations on basis of price, adherence to specifications, delivery, past experience, and other pertinent factors; determines best source for purchase; documents recommendations and actions.
  • Coordinate with coaches, external relations and sport administration to determine team's equipment needs and variations or design of new uniforms.
  • Coordinate with the Head Coach or designee of each sport the schedule for equipment room staff and student manager for home events and travel to away contests.
  • Ensure that equipment and uniform needs are met for 21 varsity sports and spirit practices and competitions.
  • Ensure the security of athletic equipment in both equipment rooms.
  • Responsible for day-to-day problem solving of athletic equipment issues; management ability to maintain good rapport with coaches, student-athletes, and staff.
  • Adhere to OSHA requirements, and NCAA regulations with regards to equipment safety.
  • Receive orders and distributes equipment to the appropriate sport ensuring in good working condition and meets safety standards.
  • Ensure ordering of apparel for athletic staff and teams are in-line with branding requirements of Athletic department, sponsors, conference, and university.
  • Oversee operations of Front Rush TRAC Software System.

Other duties as assigned (5%)
  • Perform miscellaneous job-related duties as assigned.

Qualifications:
  • Bachelor's degree and three years of athletic equipment experience directly related to job duties and responsibilities specified, or an equivalent combination of education and experience.
  • Certification from Athletic Equipment Managers Association (AEMA).
  • A minimum of one year of supervisory experience required.
  • Knowledge of OSHA requirement with regards to equipment safety.
  • Knowledge of NCAA regulations regarding equipment safety.
  • Analytical as well as computing skills to include Microsoft Word, Excel, Power Point, Outlook.
  • Effective interpersonal and communication and negotiating skills, in order to interact with vendors, coaches, students, administrative staff at all levels.
  • Familiarity with University systems, policies, and procedures preferred.

Special Requirements:
  • Evening and weekend work required. Work for some holidays may be required.
  • Valid driver's license with good driving record; must be insurable.
