Administrative Assistant III

PAY GRADE: 27N

CONTEXT OF THE JOB:

The Student Services for Athletes Program is designed to assist student-athletes in making the best possible academic and personal adjustment to the University of Delaware. The Program strives to make basic student services such as counseling, educational/developmental workshops and programs more accessible to student-athletes. The Student Services for Athletes Program aims to foster the development of student-athletes in academics, career development, and personal development.

Under the general supervision of the Director of Student Services for Athletes, the Administrative Assistant will support the overall administration of the Student Services for Athletes Program, perform complex secretarial and administrative duties, provide program support and coordinate administrative aspects of special programs and events, and prioritize and resolve administrative issues. A high level of independent judgment, initiative and problem-solving skills are required.

MAJOR RESPONSIBILITIES:
  • Performs general administrative duties and office management tasks.
  • Schedules and coordinates workshops, speakers, special events, and committee meetings.
  • Collects & maintains academic & eligibility data regarding student-athletes.
  • Prepares administrative forms which may contain confidential information.
  • Compiles, evaluates and verifies statistical reports.
  • Develops and maintains databases to generate reports using various queries.
  • Coordinates payroll process for student workers and tutorial staff.
  • Oversees hiring process and onboarding for tutors, grad assistants and interns hired by SSA.
  • HR liaison for SSA; handles recordkeeping of time for staff.
  • Handles purchasing for department and assists staff with travel.
  • Liaison with IT in troubleshooting hardware, software and equipment purchases.
  • Assists SSA staff with setting up study hall and coordinating proctor schedules.
  • Monitors students as they arrive for meetings and appointments to provide direction as needed and assists with logging into BHSC.
  • Researches and responds to inquiries and explains policies and procedures.
  • KarAssists SSA staff with academic monitoring procedures; contact with faculty and coaches.
  • Interacts with student-athletes and coaches in relation to scheduling of appointments, study hall and computer lab usage.
  • Edits and formats publications.
  • Prepares and maintains annual reports.
  • Performs miscellaneous job-related duties as assigned.

QUALIFICATIONS:
  • High school diploma or GED, Associate's degree preferred, and three to five years of experience.
  • University experience is desirable.
  • Knowledge of the principles and practices of office management.
  • Ability to handle multiple assignments concurrently.
  • Ability to analyze and interpret data.
  • Ability to make independent decisions in keeping with level of the position.
  • Ability to use advanced techniques in word processing, spreadsheet, database and presentation software.
  • Ability to communicate effectively and interact well with people of all ages and diverse backgrounds.
