Administrative Assistant II - School of Public Policy and Administration

The School of Public Policy and Administration (SPPA) provides undergraduate and graduate education, research, and public service in the fields of leadership, urban affairs, and public policy, public administration, and disaster management. The School hosts approximately 30 faculty and 30 professional staff in addition to approximately 300 undergraduate students and 150 graduate students in its eight academic programs.

SPPA's business office oversees financial management, human resources, internet technology, recruiting and admissions, undergraduate and graduate support services, public relations and marketing, and alumni relations and fundraising. The incumbent, who reports to the Senior Business Administrator, will fulfill the administrative needs of the undergraduate program directors, faculty and instructors and will schedule courses for the school's eight academic programs. The incumbent supports all related operations, activities and students of both the Public Policy and Organizational & Community Leadership major degree programs, as well as three minor programs.

Major Responsibilities:
  • Assist undergraduate and graduate program directors with the scheduling for courses for Winter, Spring, Summer and Fall academic sessions. Communicate with Registrar's office and department contacts to coordinate rooms for courses, cross listing and dual listing, meeting dates and times and other course details. Enter the course data into UDSIS. Run Cognos reports and work with spreadsheets to track and course details.
  • Staff the Academic Course Curriculum Committee.
  • Process webforms for students in program including Change of Major and Request for Drop Add forms.
  • Department contact for Transfer of Credit.
  • Use Advisor Notes program to monitor advisor/advisee lists. Print transcripts and degree progress information for Program Directors.
  • Coordinate work on special events and projects including the Discovery Days, Decision Days, Graduation and Blue and Gold Saturdays. Schedule event locations, photographers, and prepare printed material.
  • Implement and monitor administrative policies and procedures within the unit. Update procedures and publications to remain current with changes in curriculum and program goals.
  • Conduct office training for faculty and staff regarding UDSIS system, processing webforms, learning advisement to students, correct procedures for processing student forms, transfer credit evaluation, independent study, etc.
  • Perform routine and non-routine clerical, secretarial and records processing duties.
  • Perform other related duties as assigned.

Qualifications
  • High school diploma or GED with 2-3 years of experience.
  • Experience in office operations which includes operating office machines, handling incoming and outgoing mail, postal and shipping services, answering phones, directing calls and taking messages; file maintenance; maintaining and purchasing supplies.
  • Experience in data collection which includes collecting, compiling and maintaining data from multiple sources such as files, records, databases, customers, staff or others.
  • Hands-on experience with electronic information systems with ability to use intermediate techniques in word processing, spreadsheets, and databases.
  • Knowledge and experience with office practices and procedures.
  • Ability to handle multiple assignments concurrently.
  • Ability to communicate effectively and interact well with people of all ages and diverse backgrounds.
  • Business English and proofreading and editing skills preferred.
  • Effective oral and written communication and organizational skills.
  • Experience in the University environment preferred.
