Financial Assistant 2, UCP 5 (Part-Time, 60%)


The University of Connecticut Graduate School seeks applicants for the position of Financial Assistant 2 (UCP 5). Under the general supervision of the Vice Provost for Graduate Education and Dean of the Graduate School, the successful candidate be responsible for managing expenses associated with all financial accounts of The Graduate School, providing financial projections to the Dean, and for helping the Dean develop and manage budgets for all Graduate School accounts.

The Financial Assistant will work closely with other members of The Graduate School staff to develop and implement efficient procedures to purchase equipment and supplies, reimburse approved travel expenses, and support all activities of The Graduate School. The Financial Assistant will advise the Dean on procedures to establish and maintain appropriate financial controls and will be responsible for ensuring that the associated procedures are followed.

The Financial Assistant acts as the Fiscal Officer for The Graduate School and works closely with the Budget Office, the Provost's Office, the Bursar's Office, and the Office of the Vice President for Research to ensure that funds of The Graduate School are used efficiently both to support operations and to provide financial support to graduate students.

Duties and Responsibilities:
  • Developing and maintaining a series of monthly reports on the financial status of accounts held by The Graduate School, e.g., budgeted vs. actual expense year-to-date and fiscal year projected.
  • Identifying redundant or unnecessary procedures associated with purchases, fund transfers, or other financial processes that can be modified or eliminated to enhance efficiency.
  • Managing approval of financial transactions for The Graduate School, including travel expenses and purchases initiated by other members of The Graduate School staff.
  • Approving reimbursements for travel expenses of doctoral students who receive doctoral travel awards.
  • Projecting fellowship and internship expenditures including Outstanding Scholar Fellowships, Harriott/Giolas Fellowships, Crandall/Cordero Fellowships, departmental pre-doctoral fellowships, doctoral dissertation fellowships, and the Provost's Professional Internship Program.
  • Processing fellowship and internship stipends and ensuring that tuition charges to students are removed through fund transfers where appropriate.
  • Communicating with academic departments regarding available funds for doctoral dissertation fellowships and monitoring expenditures to ensure proper use of funds.
  • Working with Sponsored Program Services and academic departments to monitor student eligibility for health insurance coverage through the Connecticut Partnership Plan and provide health insurance subsidies from The Graduate School as appropriate.
  • Working with departments who are part of the Provost's Professional Internship Program to identify students who will serve as interns.
  • Assisting the Dean of the Graduate School in developing a budget framework that includes both operational expenses and expenses associated with direct graduate student support, e.g., fellowships and doctoral student travel.
  • Other duties as assigned.

Minimum Qualifications
  1. Five to ten years progressively responsible experience in financial record keeping, supervision and reporting
  2. Sound knowledge of budget preparation and fiscal control methods.
  3. Knowledge of accounting practices and procedures
  4. Ability to analyze and modify fiscal procedures.
  5. Ability to work independently and exercise sound judgment.

Preferred Qualifications
  1. Bachelor's degree in accounting and two to four years of experience in budget preparation and fiscal control.
  2. Demonstrated ability to manage multiple budget accounts.
  3. Demonstrated familiarity with enterprise-level accounting software.
  4. Familiarity with electronic financial systems such as KFS.

Appointment Terms

This is a part-time (60%) permanent position in which the University offers a full range of excellent health and retirement benefits. Salary is commensurate with experience.
