Financial Assistant 2 (UCP 5)


The School of Engineering Dean's office seeks applicants for a full-time Financial Assistant 2 (UCP 5) position. Working as part of the Dean's Office team, the Financial Assistant's primary responsibility is to provide financial support with occasional administrative support, as needed.

This position is responsible for a variety of duties including budget projections and analysis, creation of financial reports, processing of payroll, procurement and travel reimbursements, reconciliation of the ProCard, oversight of Foundation deposits and disbursements, ad hoc analysis, internal and external reporting support, and providing backup assistance to other fiscal staff in the School. The incumbent will also participate in fiscal planning and the creation of financial reports utilizing the University's data warehouse and reporting services tools. Further, the position will be responsible for assisting with budgetary transactions, which may include monitoring/resolving discrepancies, processing budget adjustments and/or transferring funds/expenses to appropriate accounts within designated timelines. This position provides backup assistance to the other fiscal staff in the School of Engineering as needed.

DUTIES AND RESPONSIBILITIES
  • Assist faculty Principal Investigators (PI) with grant post award activities including monitoring budgets and ensuring compliance with regulations and policies at the University, state and federal levels as well as the requirements of Sponsored Programs Services (SPS) and funding agencies; may perform or assist with cost transfers, re-budget requests, financial reports and audits, account closeout, grant compliance and training issues
  • Assists in the annual preparation of department/unit budgets, and acts as the fiscal steward to the approved budgets, making decisions related to the appropriateness of requested expenditures.
  • Prepares regular financial statements of condition for assigned units or cost centers and makes available timely and accurate financial information, including participation in the quarterly projection process, variance analysis to compare actual results to plans/forecasts, and participation in year-end processing procedures
  • Develops financial reports utilizing the University's financial database and report writing tool; prepares other reports as appropriate to meet University, State, federal and department/division requirements; may assist in contributing to fiscal sections of surveys, grant and contract proposals and/or provide financial information to fulfill various reporting requirements
  • Maintains and monitors financial records and accounts as assigned including processing of payroll records, purchasing (all aspects, including artist contracts), travel, P-card reconciliation and other disbursements; serves as a resource regarding fiscal matters and in resolving fiscal problems.
  • Manages and monitors transactions and compliance related to UConn Foundation accounts, including graduate scholarships
  • May supervise the work of student staff
  • Contributes to development and maintenance of procedures and documentation for area of responsibility. Develop process flow charts to summarize work efforts.
  • Serves as a back-up to other departments/units within the School of Engineering as needed
  • Assists with special projects or assignments, which require a thorough understanding of fiscal and departmental procedures.
  • Provides administrative staff support as needed

MINIMUM QUALIFICATIONS
  1. At least five years of progressively responsible experience in financial record keeping, analysis, and reporting.
  2. Sound knowledge of budget preparation and fiscal control methods.
  3. Knowledge of accounting practices and procedures
  4. Ability to analyze and modify fiscal procedures
  5. Ability to work independently and exercise sound judgment
  6. Excellent organizational and time management skills
  7. Advanced proficiency in Excel and other business applications, such as Word or PowerPoint.
  8. User knowledge and demonstrated experience within a financial ERP system.
  9. Understanding and ability to apply basic accounting skills and concepts.

PREFERRED QUALIFICATIONS
  1. Bachelor's degree in business administration
  2. More than five years of experience in financial record keeping, budgeting and reporting.
  3. Experience in working with Kuali Financial Systems or equivalent ERP
  4. Demonstrated ability to clearly communicate financial information both verbally and in writing.
