Position Description:

The Paralegal is responsible for assisting and supporting University Counsel in professional and technical work involving a full range of legal and administrative issues confronting the University.

Under the general supervision of University Counsel, the Paralegal provides a full-range of administrative and legal support functions on varied and complex duties, tasks and projects in support of Cal Poly's Office of University Counsel and the California State University system.

This confidential position requires initiative, precision, excellent organizational skills, careful coordination, discretion, and efficient administration of all Office of University Counsel services, and communication with a wide variety of public and private sector contacts, including faculty, staff and students of the campus, the Office of General Counsel (OGC), the Chancellor's Office, other California State University (CSU) campuses, as well as systemwide offices and representatives, government officials, attorneys, and the public. The work is specialized and of a highly sensitive and confidential nature requiring access to a variety of sources of sensitive and confidential information, both legal and non-legal, including but not limited to Human Resources and Academic Personnel records, collective bargaining negotiations or strategies, personnel matters, and progress/status reports on campus programs and projects. Work assignments affect the overall University Counsel's priorities at all times, and requires in-depth knowledge of the functions of the office as related to the overall campus and systemwide environment.

On behalf of University Counsel, the Paralegal independently prepares correspondence, memoranda, notes, reports, pleadings, subpoenas, legal briefs, office budget documents, and other administrative documents in compliance with University policies and procedures, and administrative agency, federal, state, and local court requirements. The Paralegal interacts statewide with various state agencies, courts, deposition and attorney services, attorneys, union representatives, and others; prepares and processes all forms of communication within and outside of the campus and the California State University; takes initiative to identify and address office needs and concerns; responds to various administrative inquiries; maintains and monitors the Office of University Counsel's calendar, business travel and budget. The Paralegal is also a responsible custodian of all records maintained in the Office of University Counsel, whether paper or electronic, and maintains all files and documents in accordance with office and University retention policies, protocols and procedures, with accuracy, thoroughness, and timeliness.


Minimum Qualifications (Staff Only):
EDUCATION AND EXPERIENCE: Equivalent to graduation from a four-year college or university. Three years of responsible relevant administrative experience demonstrating the ability to perform in a legal office in a highly proficient manner. A graduate degree in a related field may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.

LICENSES, CERTIFICATES, DEGREES, CREDENTIALS: Possession of a valid driver's license or the ability to obtain by date of hire.


Required Qualifications:
  • Demonstrated ability to edit and review legal documents and identify inaccuracies or omissions.
  • Ability to use tact and diplomacy to effectively handle a broad range of complex legal operations and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems as they arise.
  • Thorough knowledge of English grammar, spelling and punctuation.
  • Working knowledge of the preparation and processing requirements of a variety of legal procedures and documents.
  • Ability to make independent decisions and solve problems, with a particular emphasis on interpreting and applying specialized and complex University and CSU policies and procedures.
  • Customer service experience requiring a very high level of diplomacy and professionalism.
  • Ability to analyze unique problems by using sound reasoning and the highest level of judgment and discretion in handling the day-to-day activities of the Office of University Counsel.
  • Ability to pay high attention to accuracy and detail.
  • Ability to work in a very fast-paced environment with numerous interruptions and frequently changing deadlines.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, and productive work atmosphere within and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Demonstrated ability to maintain the highest level of confidentiality with regard to materials and sensitive issues such as: personnel actions; grievances; contract negotiations; management strategy related to collective bargaining; projects and lawsuits.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Highly proficient written communication skills with the ability to compose and edit complex correspondence and documents, demonstrating a thorough knowledge of English grammar, spelling and punctuation.
  • Ability to work independently and under specific direction.
  • Strong strategic and analytic skills with the ability to research, analyze and report on various issues, policies and procedures, and to recommend enhancements as necessary.
  • Excellent organizational and time management skills with demonstrated skill in planning and organizing own work, setting own priorities, and coordinating multiple assignments with fluctuating and time-sensitive deadlines with accountability for results.
  • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
  • Ability to interpret, communicate and apply policies and procedures.
  • Demonstrated ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.

  • Preferred Qualifications:
  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
  • Graduates of ABA approved paralegal education programs possessing a Paralegal Certificate are preferred.
  • Proficiency and experience with Microsoft Office (including Word, Outlook, Excel and PowerPoint), Office 365, Adobe, Concordance, NetDocs, eCounsel and HotDocs.
  • Type at a corrected rate of at least 55wpm, must be proficient with current computer/technology platforms and software applications, including formatting legal pleadings/documents, must be able to general tables of contents and authorities in Microsoft Word and must have state/federal law knowledge.

  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work after normal business hours from time to time, occasional holidays, and adjust working hours to meet special jobs and deadlines. May be called back periodically to perform work as needed on an emergency basis.
  • The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
  • Must be able to successfully pass a pre-employment background/fingerprint check.
  • This position classification has been defined as "Exempt" and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA).

    Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
