Position Description:

International, Graduate and Extended Education (IGEE) is a department under the direction of the Vice Provost of International, Graduate and Extended Education within the Academic Affairs division. The International Center provides leadership and coordination for international activities and serves as the principle catalyst for internationalization efforts at Cal Poly. Graduate Education promotes excellence in practice-oriented professional graduate programs and Extended Education provides a way to earn college credit, acquire skills, enjoy hobbies and enhance career opportunities, which supports Cal Poly's outreach mission by providing access to the intellectual resources and services of the University.

This position provides support to the Director of Marketing for International, Graduate and Extended Education. Responsibilities and tasks include ensuring that all available data, information, and marketing systems are used to the best advantage of the department. The incumbent will analyze databases to determine and evaluate alternative solutions and approaches to meeting marketing needs. This position will perform highly technical and analytical duties including: the development, evaluation, and review, report and initiate data analyses. This position will assess enrollment patterns and trends, resolve problems, perform queries and audits of data, develop materials and support for program development, provide support and data analysis for the Customer Relationship Management (CRM) system including the development of Business Process Guides (BPG) and act as the liaison for a number of Administrative units on campus.

The following examples illustrate typical work activities and are not meant to be all inclusive or restrictive:



CRM System Administration:
  • Effectively manage and run all aspects of the CRM system for IGEE campaigns and email communications.

  • Develop communication plans based on analysis of target populations, interests, and prior registrations. This includes testing email scripts, creating filters, attributes, identifying targets for effective messaging, and providing regular reports on system status, retention, and recommendations for improvement.

  • Develop and introduce new opportunities and strategies for utilization of CRM system in all IGEE areas.

  • Support Graduate Education expanded prospecting email communication (domestic and international).

  • Maintain confidentiality and accuracy conducting extensive work with confidential information and large data files.

  • Export registration contacts on a regular basis to add to the CRM database.

  • Query and export enrolled student data for strategic target marketing outreach.

  • Utilize CRM system to communicate with target markets when enrollment is low to boost registrations.

    Social Media Administration:
  • Create, coordinate and schedule social media messaging for Extended Ed, Study Abroad, International Center, Graduate Education.


  • Minimum Qualifications (Staff Only):
    Equivalent to graduation from a four-year college or university. One year of technical or administrative experience. A graduate degree in a related field may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.


    Required Qualifications:
  • Working knowledge of customer relationship management solutions, such as Hobsons, Salesforce or similar software.
  • Working knowledge of social media platforms, including social media marketing methods.
  • Ability to analyze data, develop hypotheses, draw conclusions/patterns, and identify marketing trends.
  • Demonstrated ability to compile, write interpret, summarize and present data in reports.
  • Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
  • Demonstrated ability to research and analyze information with the ability to apply independent judgment, discretion and initiative in determining appropriate solutions to resolve problems.
  • Ability to adapt to and train others in the use of new or changing technology.
  • Demonstrated knowledge of office methods, procedures, and practices.
  • Working knowledge of general practices, program, and/or administrative specialty. Basic knowledge of and ability to apply fundamental concepts. Working knowledge of budget policies and procedures.
  • Ability to work independently, with minimal supervision. Strong organizational skills and ability to coordinate multiple activities simultaneously, determine the relative importance of each, set and meet deadlines in an environment with frequent interruptions; ability to reschedule and distribute work assignments based on shifting priorities.
  • Demonstrated customer service experience and the ability to interpret, apply and communicate a wide variety of policies and procedures to act where specific guidelines may not exist.
  • Excellent oral and written skills, to be able to communicate effectively with a variety of people at all levels within the University and the general public. Thorough knowledge of English grammar, punctuation, and spelling.
  • Demonstrated ability to draft and compose correspondence and standard reports.
  • Ability to successfully assign tasks, provide work direction, training, and guidance to others.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • Demonstrated ability to handle potentially sensitive solutions and professionally interact with difficult or demanding individuals.
  • Demonstrated ability to maintain a high degree of confidentiality.
  • Ability to communicate effectively both orally and in writing. Must have excellent proofreading skills with high attention to detail.
  • Thorough user knowledge of computers including word processing, email, electronic calendaring, spreadsheets and databases. Ability to proficiently operate, trouble-shoot, and maintain standard office equipment.
  • Demonstrated ability to establish and maintain effective working relationships and maintain a positive and productive working atmosphere. This includes the ability to work in a group setting to convey information and problem solve differences, interact diplomatically with persons from varied backgrounds and work on a team.
  • Ability to effectively adapt to changing organizational, procedural, and technological policies.
  • Demonstrated ability to maintain a high degree of confidentiality, accuracy and efficiency, using sound judgment and professional integrity.

  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work in front of a computer monitor for extended periods of time.
  • Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
  • The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
  • This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA).

    The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

    Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
