Salary Range: $2,327 - $3,777 per month. Anticipated hiring range is $2,327 - $2,560 per month.

Position Description:

Administrative Support Assistant II - 11/12 - COMMUNICATION STUDIES. The Communication Studies Department is one of 15 academic departments and a major academic unit within the College of Liberal Arts. The program supports about 225 students in the major and 85 students in the minor. The department also supports a thriving debate program. The majority of courses offered by the department satisfy areas A2 and A3 of the university's General Education and Breadth requirements for students of all majors. Starting in academic year 2017-18, the department will comprise department chair; 9 tenured/tenure track faculty; seven full-time lecturers; and about 18-20 part-time lecturers, many of whom teach 44 units per year. Support staff include one administrative support coordinator, one 11/12 administrative support assistant (the incumbent), and one or more student assistants.

This position provides a variety of administrative support services and academic support to faculty, staff, and students in the Communication Studies Department. The incumbent is responsible for use of technology and information systems, and for facilitating the daily operations of the department. The incumbent is also responsible for providing assistance to students, on-campus personnel, and the general public regarding questions on department, college, and university policies and procedures.

  • This position is paid under the 11/12 pay plan, where salary for 11 months is distributed over 12 months with JULY off (with pay, benefits, and vacation/sick leave accrual continuing through months off).


  • Minimum Qualifications (Staff Only):
    High school diploma or its equivalent. Type 45 wpm. Three years of general office support experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)


    Required Qualifications:
  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
  • Thorough knowledge of office methods, procedures, and practices.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data, purchasing and ordering.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
  • Thorough knowledge of English grammar, spelling and punctuation.
  • Ability to interpret, communicate and apply policies and procedures.
  • Demonstrated ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.

  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

  • Special Conditions:

  • Must have ability to safely move and unload boxes of supplies/ files and place them in the storage areas. Job may require occasional lifting and/or moving of office supplies and paper (up to 25 lbs.).
  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work occasional overtime and adjust working hours to meet special needs.
  • The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
  • This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA)
  • This position is paid under the 11/12 pay plan, where salary for 11 months is distributed over 12 months with the month of JULY off (with pay, benefits, and vacation/sick leave accrual continuing through months off).

    Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
