Position Description:

ADMINISTRATIVE SUPPORT ASSISTANT II, PSYCHOLOGY & CHILD DEVELOPMENT - The Psychology and Child Development Department (PSY/CD) is a major academic unit in the College of Liberal Arts (CLA). The department offers a B.S. in Psychology, a B.S. in Child Development, an M.S. in Psychology, and minors in Psychology, Child Development, and Gerontology, and offers courses to satisfy General Education and Breadth requirements open to all Cal Poly students. The department has the largest number of majors in the college with approximately 650 undergraduate majors. In addition there are approximately 350 minors and 30 MS students. As a whole, the department's offerings generate approximately 27,000 SCUs per academic year: the second highest in the college.

The department runs a preschool lab as part of its Child Development major and the San Luis Obispo Counseling Service at Cal Poly as part of its M.S. program. It also oversees a department computer lab. The department is currently composed of a department chair (on a 3-year rotation, with 3-year renewable terms), 21 full-time faculty, 2 FERPS (Faculty Early Retirement Program), 20-25 part-time lecturers, 3 staff, and 20 paid student assistants who provide program support in psychology, with the M.S. program counseling clinic, and in the Child Development (CD) Preschool Learning Lab. The department also supports the staffing (1 Director, 2 Teachers) for the CD Preschool Learning Lab.

Under the general supervision of the department chair, with lead work supervision provided by the ASC II, this position provides general clerical support for the department chair and faculty and is responsible for providing information and support for administration, faculty, students, parents, and the general public regarding department programs. The position serves as the initial primary contact for the department, greeting and providing assistance to faculty, students and guests with general information and referrals to appropriate individuals and offices.

  • This position is paid under the 11/12 pay plan, where salary for 11 months is distributed over 12 months with AUGUST off (with pay, benefits, and vacation/sick leave accrual continuing through months off).


  • Minimum Qualifications (Staff Only):
    High school diploma or its equivalent. Type 45 wpm. Three years of general office support experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)

  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.

  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data, purchasing and ordering.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
  • Thorough knowledge of English grammar, spelling and punctuation. Ability to effectively proofread, edit and draft original correspondence.
  • General working knowledge of, or ability to quickly learn, applicable University infrastructure and campus policies and procedures. Ability to interpret, communicate and apply policies and procedures.
  • Demonstrated ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with frequent interruptions and fluctuating and time-sensitive deadlines.
  • Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
  • Ability to perform moderate to complex clerical assignments using sound judgment and discretion. Ability to perform most or all work assignments in a relatively independent manner.
  • Ability to operate proficiently and troubleshoot issues with standard office equipment such as copy machines, multi-line telephone systems, fax machines, scantron machines, printers and computers.

  • Preferred Qualifications:
  • Bachelor's degree preferred.
  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
  • Experience with Microsoft Office Suite; i.e. Word, Excel, PowerPoint.
  • Experience with Adobe Creative Suite; i.e. Acrobat, InDesign.
  • Experience with campus specific applications including PeopleSoft, PolyData Dashboards, Cal Poly Jobs, Student Payroll System, Office 365 Calendar and E-mail.
  • Comprehensive knowledge of appropriate university/college/dept. and/or federal/state policies and procedures.

  • Must have ability to safely move and unload boxes of supplies/ files and place them in the storage areas. Job may require occasional lifting and/or moving of office supplies and paper (up to 25 lbs.).
  • Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
  • The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
  • This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA.

    Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
