Hourly Rate or Monthly Salary: Starting $1,851.56 per month, plus 2.5% shift differential based on hours worked

Working Hours: One regular, part-time position, 18 hours per week, 10 months per year (August through May), on the Oceanside campus. The work schedule will be Monday through Thursday, 4:30 PM - 9:00 PM. The person selected for this position will be subject to assignment to any district or authorized facility during any hours of operation.

Basic Function and Other Details:
BASIC FUNCTION: Under the direction of the Director of Student Activities, perform a wide variety of complex clerical duties requiring specialized knowledge in one or more specific functional areas such as human resources, counseling, marketing and communication; perform duties involving frequent and responsible contact with students, staff and the public.

DISTINGUISHING CHARACTERISTICS:
The Secretary Clerk III is the advanced level classification in the Secretary Clerk series. Incumbents must possess thorough knowledge pertinent to their assignment and serve as a resource to other District staff. Incumbents may be assigned as sole clerical support to a specialized function or may work in a lead capacity to other clerical personnel and student workers.

The Student Center Night Clerk is a key position within the Oceanside Student Center and will serve as the lead employee in overseeing the operation, activities and services of the Oceanside Student Center during evening hours. Will greet Student Center customers and guests and ensure general comfort of building users and cleanliness of facility. Responsible for opening and closing rooms as scheduled; monitor general operations and events and meetings to ensure facilities and equipment are properly used; perform audio-visual and physical set-ups if necessary. Will serve as the lead for producing marketing material including art for print and electronic distribution; as well as lead for producing and posting social media product for the department. Will work with appropriate Student Activities staff, customers, program advisors, food service personnel, campus police, and other District officials to insure that events are properly managed and controlled; enforce Student Activities and applicable District & Board policies. Report any malfunction of lights, doors, locks, sound systems, plumbing, and other building systems to Student Center Manager. Prepare accident or incident reports; contact appropriate full-time Student Activities or personnel in case of emergencies. Serve as an active member of the Student Activities department, attend meetings, and contribute to departmental goals and objectives. Perform other duties as assigned and assume additional responsibilities within the scope of the position as required.

Representative Duties:
REPRESENTATIVE DUTIES:

1. Plan, schedule and perform a wide variety of difficult and complex secretarial and clerical work related to the specialized function to which assigned. (E)

2. Confer with staff, students and the public in matters requiring detailed knowledge of rules, procedures, policies and precedents; coordinate communications and activities to assure timely services of the program or department.

3. Perform a number of specialized functions with the assigned department or program, requiring considerable knowledge of the program, its policies and terminology. Provide information and assistance regarding facts and interpretation of programs or District policies and procedures. (E)

4. Verify, compile and record information for the preparation of reports and the maintenance of filing systems; prepare records including narrative, financial and statistical records and reports based on data obtained from a variety of sources; process data in accordance with prescribed procedures. (E)

5. Perform a variety of clerical duties such as posting, filing, typing and duplicating; maintain and update calendars, schedules, lists, manuals and handbooks for distribution and use by a variety of administrators, staff and the public. Perform clerical work for others in department/program as assigned; make travel arrangements as requested; receive, open, stamp and route mail; compose, prepare and type correspondence independently or from oral instruction. (E)

6. May serve as receptionist; initiate and answer telephone calls providing information or referring callers to appropriate department or staff and resolving problems and questions as appropriate; establish and maintain positive staff and public relations image. (E)

7. Train and provide work direction to other clerical staff and student workers as assigned.

8. Schedule, meetings, conferences and special events.

9. Maintain inventory and order supplies and equipment according to established procedures.

10. Attend meetings and take minutes.

11. Perform related duties as assigned.

Minimum Qualifications:
To be eligible for this position, you must meet and provide evidence of the following minimum qualifications:

1. High school diploma or the equivalent; AND

2. Two years of related work experience; (IMPORTANT: For work experience, one "year" is defined as equivalent to 40 hours per week for 12 months, or at least 2,080 hours.) AND

3. Ability to type/keyboard at 50 net words per minute.

Desirable Qualifications:
1. Experience in customer service. 2. Experience coordinating special projects and/or events. 3. Ability to produce marketing materials for department events.
