Responsibilities:

Reporting to the Associate Dean of Graduate Business Programs, the Coordinator of Graduate Business (GB) Administrative Services will provide essential support for all operations of Graduate Business Programs including Admissions & Recruiting; Marketing & Outreach; Academic Services (including Career Services); faculty and students. The Coordinator of GB Administrative Services will provide general office support as well as event management for all Graduate Business events.

1. The position supports the recruiting effort by utilizing a CRM database system including

a) data entry to inquiries for program information from a variety of sources
b) logging information regarding inquiries into the database system
c) deciding internal referral of prospective leads to different admission team members
d) creating filters to track event attendance
e) assure consistency between different database systems. Also, supports the GB recruiting effort by scheduling locations and managing logistics for recruitment events.

This includes room reservations, food/beverage, and contracts for Information Sessions, graduate fairs, and any other recruitment events. Position manages data entry of RSVPs and provides the supervisor with attendee lists and nametags for all events.

2. Supports Career Services by assisting with event logistics: registering students; communicating details of events; creating constant contact flyers; on-site registration and oversight; arrange food, seating, technical services for speakers; collects evaluations; oversees payment of speakers with CFO2.

Tracks salary survey results from new student orientation, upon graduation and 4 month and one-year follow-ups. Coordinates graduate surveys, follow up with students until 75% participation through email campaigns and phone follow-ups.

3. Provide Graduate Business Programs event management support for GB events, including evening and weekend events. Provide logistical support for visiting groups such as the Barcelona, Pilai's and other visiting schools

4. Provide faculty support including, but not limited to, the schedule and monitor all student make-up exams, photocopies, classroom keys and other logistical support.

5. General reception duties:


  • including management of ext. 4500 (including messaging updates and voicemails).
  • Book BUG Hall conference room for faculty, students and guests
  • Manage daily deliveries of mail, packages and other materials, distribute to staff and faculty
  • Responsible for general office services vendor management
  • (Shred-It, Shamrock, etc.)
  • Manage ordering and securing of name badges, business cards, and office name plates
  • Replenishing general supplies, scheduling service calls, copier jams, maintenance and facilities requests
  • The main contact for SMC facilities work orders
  • Manage and coordinate office moves including, furniture, equipment, computers and, telephone.
  • Maintain departmental campus contact lists and faculty directories.



Experience and Qualifications:

  • Three to five years of general office experience in a professional setting, preferably in an educational setting with excellent customer service
  • Strong communication skills, both oral and written, strong proficiency in Word and Excel(Word Office, Spreadsheets)
