Department Description 

The mission of Enrollment Services is to plan, develop, implement, and monitor initiatives for providing efficient, accurate, and cost-effective services to students, faculty, administration, and the community. Enrollment Services supports the student success mission of the University, while maintaining the academic and fiscal integrity of the University.

 

Position Description

The Assistant Vice President, Enrollment Services oversees and coordinates the Offices of Admissions, Financial Aid, Registration, Records, and Evaluations, and Student Administration Systems and Fiscal and Operational needs of the unit. Enrollment Services has a budget of $8.5M and has a staff of over 150 members who all work together to create and deliver an exceptional student experience. Enrollment Services is involved in nearly every aspect of the students association with the University, beginning with initial inquiries concerning admission and financial aid opportunities through to graduation.

 

The AVP will provide leadership for good customer service and community relations through a proactive plan that involves all four units. The AVP will consult with appropriate campus constituents to assure that student system development and automated student support services are relevant to customer service needs and performed on schedule to meet customer service objectives. In addition, the AVP reviews and develops policy and procedures to effect enrollment-related services in accordance with applicable campus polices and system regulations. 

 

To ensure the effective management of Enrollment Services, this assignment requires conceptualizing organizational goals that reflect the strategic priorities of the University with specific emphasis on the student-centered philosophy, excellent customer service, and integrity of operations. The AVP establishes and maintains an emphasis toward meeting the service needs of students in an effective and efficient manner through the organization and direction of staff and the design and development of student-centered services. Direction and development of budgets in addition to monitoring the utilization of resources is a crucial responsibility.

 

Works with the Vice Provost for Academic Planning and the Enrollment Advisory Committee on the development and execution of the campus enrollment plan including issues of admission, retention, enrollment forecasting, and long-term strategic planning.

 

Serves as primary campus resource for directing the development of new initiatives in support of student success utilizing the student administrative information systems. 

 

This assignment involves the development of objectives for administrative systems and the coordination and monitoring of activities leading to successful implementation and delivery of services within the Common Management System (CMS) framework. 

 

Serves as the student administration project manager and the campus representative to CSU system-wide committees.

 

Operates as the primary student systems advocate to report status, maintain user documentation, and provide training to user departments. 

 

Has overall responsibility for representing user interests and works with project technical staff to plan and coordinate user activity which initiates new procedures, implements new technology, solves problems, and contributes to the overall effectiveness and efficiency of University operations.

 

Oversees the activity of student systems development and coordinates activity of student system user groups on and off-campus.

 

Serves as the Student Administration Project manager coordinating activities with the CMS Project Director. Works directly with Chancellor's Office CMS leadership and staff on student system issues.

 

Directs and manages all fiscal, including budget, and operational areas reporting to the position.

 

Represents the campus and Enrollment Services at various community events and serves on other councils, committees, and task forces as assigned by the Vice Provost.

 

Maintains knowledge of and compliance with relevant NCAA and conference rules and reports any concerns or violations to the campus NCAA Compliance Officer in CSULB Athletics.

 

Serves as the campus Federal Education Rights and Privacy Act (FERPA) officer.

Education and Experience 

Master's degree in business/educational administration or a related field required. Ph.D. or Ed.D. preferred. Experience managing university admissions, financial aid, registration, records & evaluation, and student administrative systems, including senior level experience in management of enrollment related services.
