Job Description

Under administrative direction, performs work of considerable responsibility in administering services, personnel, and a set of processes which provide support to the faculty and staff assigned within the Thunderbird School of Global Management. Serves as a liaison to the faculty, to other units of the university, to committees within the School, and to outside constituencies. Advises the Deputy Dean and unit representatives on academic personnel processes to ensure consistency across the university.

 

Salary Range

$41,760 - $52,000 per year; DOE

Essential Duties

  • In coordination with Deputy and Associate Deans facilitates a variety of complex programs, processes and activities.
  • Serves as a conduit of information to and from university personnel, faculty and staff on issues that impact the Deputy Dean and the Associate Deans.
  • Screens and refers telephone inquiries from members of the university community and the public on behalf of the Deputy Dean for problem identification, resolution and resource referral; coordinates and tracks follow up items to ensure timely completion of tasks.
  • Assists with reports and communication to faculty and academic professionals across the school.
  • Independently composes correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved.
  • Composes correspondence involving judgment for non‐routine, significant inquiries and problems.
  • Coordinates arrangements for a variety of Deputy Dean's Office events and activities.
  • Reviews and follows‐up on academic and program issues surfaced during meetings and events.
  • In coordination with the Deputy Dean, assembles agenda items for meetings and events and maintains official meeting records.
  • Coordinates recruitment, annual review, and termination paperwork for teaching assistants, research assistants and instructional assistants.
  • Serves as primary lead for academic personnel processes including tenure and promotion, applicant list approval and personnel transaction requests.
  • Acts as liaison to the Office of Human Resources on HR processes affecting academic personnel.
  • Performs special assignments as instructed by Deputy Dean, Associate Deans and staff project manager.
  • Performs other duties as assigned.

 

Minimum Qualifications

Bachelor's degree in a related field AND four (4) years experience in an administrative position; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills, and abilities have been achieved.

 

Desired Qualifications

  • Evidence of a Master’s degree is preferred.
  • Demonstrated knowledge of academic policies, procedures, and organization.
  • Demonstrated knowledge of principles, practices and procedures of human resource administration related to academic personnel.
  • Demonstrated knowledge in APARS.
  • Experience in higher education administration at the leadership level handling confidential and sensitive information with an emphasis on academic personnel issues.
  • Demonstrated knowledge of program management and administration principles, practices and procedures.
  • Demonstrated knowledge of computer software, including proficiency with Microsoft Office software or its equivalent.
  • Evidence of effective communication.
  • Experience in dealing with a wide range of topics, including confidential and sensitive information.
  • Experience in maintaining effective working relationships in a diversified population.
  • Experience in analyzing and comprehending complex issues.
  • Experience in working effectively in a fast‐paced dynamic environment subject to quickly changing priorities and potentially conflicting deadlines.

 

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended period of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
